Executive Partner to the Founding Attorney
YOUR MISSION
Give the Founding Attorney meaningful time back by anticipating needs, protecting his attention, taking ownership of recurring work, and turning incoming requests into organized, completed solutions.
The Opportunity
JustCallMoe A
What You Will Own
Protect the Founder’s Time and Attention
• Own and maintain the Founding Attorney’s professional calendar in U.S. Eastern Time.
• Evaluate meeting requests for urgency and value; resolve conflicts and protect focused work time.
• Build in preparation, travel, and transition time so the calendar is realistic; not merely full.
• Ensure every meeting includes the relevant background, documents, agenda, links, and desired outcome.
• Within agreed guidelines, politely decline, shorten, delegate, or reschedule low-value commitments.
Own the Inbox, Communication, and Follow-Through
• Triage
• Draft polished responses in the Founding Attorney’s voice and independently handle approved categories.
• Track commitments, deadlines, introductions, and follow-ups until they are completed.
• Communicate professionally with attorneys, employees, clients, vendors, and community partners.
• Turn a complicated incoming issue into a concise explanation, practical options, and a recommended next step.
Drive Projects from Direction to Completion
You will often receive the objective, context, constraints, and desired result; not a step-by-step instruction manual. From there, you will research, coordinate, draft, execute, quality-check, and follow through. The Founding Attorney should mainly be needed for judgment, approval, or final refinement.
• Convert
• Move assigned projects forward between meetings without repeated reminders.
• Create SOPs, templates, checklists, and preference guides so recurring work becomes easier and more reliable.
• Identify work that can be eliminated, automated, delegated, or systematized.
• Coordinate across departments while preserving each person’s accountability.
Prepare the Executive and Close the Loop
• Prepare concise meeting briefs covering attendees, purpose, relevant history, open issues, and decisions needed.
• Organize agendas, supporting materials, and talking points.
• Capture decisions and action items, assign owners, and follow up on due dates.
• Maintain a reliable system for pending decisions and commitments so the same issue does not need to be revisited repeatedly.
Manage Travel and Executive Logistics
• Research and coordinate flights, hotels, transportation, reservations, events, and detailed itineraries.
• Present a well-researched recommendation based on known preferences—not an unfiltered list of links.
• Anticipate time zones, loyalty programs, dietary needs, meeting locations, documentation, and backup plans.
• Support limited personal or family logistics when requested and appropriate.
Use AI and Technology to Create Leverage
• Use approved AI tools to summarize information, organize research, prepare drafts, and accelerate routine work.
• Verify every AI-assisted output before it reaches the Founding Attorney or an outside recipient.
• Build reusable prompts, templates, and workflows that reflect the Founding Attorney’s preferences.
• Recommend practical automations that reduce manual work and create measurable time savings.
• Protect attorney-client privilege and confidential client, employee, financial, and personal information at all times.
How You Should Bring Forward a Problem
Before escalating an issue, be ready to explain:
• What happened?
• Why does it matter, and by when?
• What realistic options are available?
• What do you recommend and why?
• What specific decision or action is needed from the Founding Attorney?
What Success Looks Like in the First 90 Days
• Learn the Founding Attorney’s priorities, communication style, calendar preferences, recurring commitments, and decision-making standards.
• Assume primary responsibility for calendar management and establish dependable inbox-triage and follow-up systems.
• Create useful daily and weekly executive briefing routines.
• Identify at least 10 recurring responsibilities that can be removed from the Founding Attorney’s plate.
• Document at least five repeatable executive processes and implement at least two useful automations.
• Provide a weekly report showing work assumed, systems created, decisions pending, and estimated hours returned.
You May Be a Great Fit If You…
• Have excellent written and spoken English and can draft polished U.S. business communications.
• Have successfully managed calendars,
• Anticipate needs instead of waiting for instructions.
• Create order from fast-moving or incomplete information and make sound decisions within established authority.
• Are persistent about follow-up, highly organized, resourceful, accurate, and discreet.
• Are comfortable using Google Workspace or Microsoft 365, video conferencing, project-management tools, and modern AI applications.
• Can reliably work during U.S. Eastern Time business hours with a secure computer, high-speed internet, a quiet workspace, and backup connectivity or power.
• Measure success by completed outcomes and time saved—not by how busy you appear.
Preferred but not required: experience supporting a founder, attorney, executive, law firm, professional-services firm, or U.S.-based organization.
