About the Role
Happy To Deliver is looking for a technically capable Executive Assistant to work closely with our Project Manager and support communication between management and our development teams.
This is not a traditional Executive Assistant position. While the role includes administrative responsibilities such as inbox management, scheduling, documentation, and follow-ups, a significant part of the job involves working with software, testing changes, investigating issues, and communicating technical information.
You will help keep projects moving by making sure requests are documented, developers have the information they need, completed work is properly checked, and management has a clear understanding of progress and potential issues.
You do not need to be a senior developer. However, you should be comfortable around code, software applications, browser developer tools, and AI tools such as Claude.
Important: This position follows fixed U.S. business hours. Applicants in the Philippines should be comfortable working a night-shift schedule.
Responsibilities
Work directly with the Project Manager and provide regular updates on project progress, blockers, pending requests, and items requiring decisions.
Monitor and organize the Project Manager's inbox, respond to routine correspondence, and flag important messages.
Maintain visibility across active projects and development work.
Communicate requests, instructions, announcements, and updates between management and team members.
Track tasks and open requests through completion and follow up when work becomes delayed or stalled.
Test recently completed development work and verify that features behave as expected.
Identify, reproduce, and clearly document software issues or unexpected behavior.
Provide developers with detailed information needed to investigate and resolve reported issues.
Make small, well-defined changes to applications or codebases when appropriate.
Use AI tools such as Claude to assist with technical investigation, documentation, coding, troubleshooting, and day-to-day work.
Create clear written documentation and screen recordings when necessary.
Assist with scheduling, meeting notes, documentation, follow-ups, and other executive support responsibilities.
What We're Looking For
We're looking for someone who is organized and technically curious.
You should be able to open an unfamiliar project or repository, investigate what's happening, and explain your findings in straightforward language.
You should also be comfortable testing software methodically. If something doesn't work, we expect you to be able to reproduce the problem, document exactly what happened, and provide enough information for a developer to investigate it.
Required qualifications include:
Strong written and spoken English
Experience using Claude, ChatGPT, or comparable AI tools as part of your regular workflow
Basic knowledge of at least one programming language, preferably JavaScript, PHP, or Python
Previous experience with QA, software testing, technical support, development, or a similar technical role
Strong organizational and task-management skills
Ability to communicate technical concepts to non-technical colleagues
Excellent attention to detail
Ability to manage multiple requests without losing track of outstanding items
Ability to work independently in a remote environment
Reliable communication during working hours
Willingness and ability to work fixed U.S. business hours from the Philippines
Preferred Qualifications
Experience with any of the following is an advantage but is not required:
Browser Developer Tools, particularly Console and Network
Git and GitHub
Loom or similar screen-recording software
Project-management platforms
Bug/issue tracking systems
Remote development teams
Executive or administrative support
Working with teams distributed across multiple time zones
Compensation & Paid Trial
The position will begin with a paid trial period at [starting rate].
The trial period allows us to evaluate actual work quality, reliability, communication, technical judgment, problem-solving ability, and ability to operate independently.
Candidates who demonstrate that they can consistently perform the role to a high standard will have their compensation reviewed, with the opportunity for the rate to increase up to $700/month.
Compensation: The starting salary for this position is $350/month during the paid trial period. Upon successful completion of the trial period and confirmation in the role, the salary will increase to $700/month. All work completed during the trial period is paid.
All work performed during the trial period will be paid at the agreed starting rate.
