We are hiring an experienced, highly organized, and proactive Executive Assistant to support a fast-growing organization and help ensure execution across multiple departments.
Company Industry: We work in the financial services and insurance industry in the United States and preferably looking for someone experienced in this field.
You will work directly with leadership and act as a central point of coordination to make sure nothing falls through the cracks.
What You’ll Be Responsible For:
Executive Support:
- Manage calendars, scheduling, and meeting coordination
- Organize priorities and assist with daily planning
- Prepare notes, summaries, and follow-ups after meetings
Task Tracking & Follow-Ups:
- Track action items across multiple departments
- Maintain organized trackers (GoHighLevel, Google Sheets, ClickUp etc.)
- Send daily follow-ups to ensure tasks are progressing
- Keep leadership updated on what is pending, completed, or delayed
Department Coordination:
- Communicate with team leaders to check status of tasks
- Ensure alignment and clarity on priorities
- Help keep teams organized and on track
Organization & Systems:
- Create and maintain systems for tracking tasks and priorities
- Improve workflows and processes when needed
- Ensure nothing is missed or overlooked
What We’re Looking For (Required):
- 4 – 6+ years of experience as an Executive Assistant or similar role
- Strong organizational and time management skills that can help provide ideas for systems improvements
- Experience using tools like Google Workspace, GoHighLevel, ClickUp, or similar
- Excellent written and verbal English communication
- Ability to work in a fast-paced environment with multiple priorities

Compensation
- $800–$1,200/month (based on experience and performance)
