Job Overview: We are a growing custom printed packaging company based in Vancouver, BC Canada, seeking a remote Sales & Operations Assistant with mandatory prior experience in the printing and packaging industry (Do not apply if you have zero experience in this industry). This is a critical requirement and applicants without this background will not be considered. The ideal candidate will have proven executive assistant experience and a solid background in procurement, with the ability to support the CEO and sales team by coordinating projects, managing vendor communications, handling sourcing and order follow-ups, and ensuring smooth operations in our business serving clients in the food and beverage industry, CPG brands, retail product businesses, and medical sectors.
Your role in the organization will include the following:
Organizational Support:
Provide high-level administrative support to the executive, including managing schedules, coordinating departments, and handling correspondence.
Organize internal systems, files and documents for optimal information flow, ensuring accuracy and efficient business productivity.
Manage business
Help resolve issues and challenges by identifying solutions and taking appropriate action.
Taking initiatives to improve SOP to ensure efficient business functionality and productivity.
Interdepartmental support:
Perform data entry and maintain an effective electronic filing system.
Coordinating team functions by interpreting messages.
Collaborate effectively with various departments or teams through virtual meetings and communication tools.
Maintain organized records of documentation and reporting daily/weekly/monthly.
Draft and send quotes promptly and accurately to support sales functions.
Assist with miscellaneous and complex priorities.
Vendor support and coordination:
Act as a liaison, to facilitate efficient communication with vendors, answering inquiries and assisting with needs, demonstrating exceptional judgment in problem-solving.
Coordinate functions like production, shipping and logistics.
Review and approve purchase orders and procurement requests.
Evaluate and select suppliers and manage vendor relationships virtually.
Collaborate with suppliers to resolve issues and optimize partnerships.
Maintain relationships with external vendors to ensure smooth communication.
Qualifications:
- Excellent verbal and written communication skills that allow you to articulate vital information to different audiences

- Fluent in English with a professional communication style.
- Clear, professional phone presence.
- Ability to listen, interpret messages, and execute tasks effectively.
- Strong organizational abilities and meticulous attention to detail.

- Professional with business maturity and a positive attitude.
- Proficiency in Excel functions, Google Workspace and Microsoft Office Suite.
- Familiarity with ERP type system - Zoho Books / Analytics / BIGIN
- Familiarity with the sales cycle and an understanding of sales strategies and techniques.
- Minimum of 5 years full-time experience as an Executive Assistant. Proven experience in Procurement or in a similar role,
- Must have proven experience in the custom printed packaging industry, including solid knowledge of the printed packaging and practical use of various packaging types.
- Technical knowledge related to procurement, printing materials and production processes, is highly desirable.
Hours and Compensation:
- Working hours: 11 AM to 11 PM (include 1-hour unpaid break to be determined mutually), Monday through Friday (PST TIME, Vancouver BC, Canada). Excluding certain BC / PH statutory Holidays. Salary is paid biweekly via WISE.
