JOB OVERVIEW

Full-Time | Long-Term Role

Salary: $1,000 per month starting, $1,500 per month after 90-day probation
Payment: Twice a month via Wise. Always on time.

You will work directly with the Setter Manager inside a fast-growing online coaching company.
This is a hands-on Executive Assistant role focused on sales operations and oversight.

You will start by shadowing him closely, learn how he works, and quickly take ownership of reporting, CRM checks, SOP compliance, and daily oversight of the setter team.
We need someone who can hit the ground running and take ownership quickly.

WORK SCHEDULE

- 7.5 hours a day; 37.5 hours per week (may start lighter during training)
- Current: Work within a 10 AM–8 PM UK time window
- Starting January 2027: Shift to EST and other time zones (Colombia to South Africa range)
- Flexibility required as the Setter Manager travels and business scales

TASKS

- Review setters’ end-of-day reports
- Check sales trackers, call notes, and KPIs
- Flag missing data or process gaps
- Keep the CRM clean and updated
- Review sales-to-coaching handoff notes
- Learn and improve internal SOPs
- Use Google Sheets, Excel, and AI to improve systems
- Follow up with setters via WhatsApp and Slack when needed
- Support inbox and calendar management over time
- Build and maintain automated workflows using AI and tools to eliminate manual work
- Help systemize and automate repeat tasks
- Gradually take over more operational and light personal tasks

This role is detail-heavy and output-focused. Accuracy, speed, and ownership are required.

REQUIREMENTS

- Experience as an Executive Assistant, Operations Assistant, or Coordinator supporting a leader
- Strong Google Sheets or Excel skills
- Confident using AI tools to improve workflows and systems
- Experience building or improving automated workflows and processes
- Strong written and spoken English
- Highly organized and proactive
- Comfortable working with KPIs and sales performance metrics
- Comfortable working in a performance-driven environment
- Comfortable being on video calls during training and shadowing

SUCCESS IN THIS ROLE (FIRST 90 DAYS)

By 90 days, you should:

- Fully understand the Setter Manager’s workflow and priorities
- Independently manage daily reporting and CRM checks
- Proactively identify issues before they are escalated
- Reliably execute tasks once given a clear SOP
- Reduce the amount of admin and oversight the Setter Manager handles daily

NICE TO HAVE EXPERIENCE

- Experience working in a sales team
- Familiarity with Close CRM, Slack, or PandaDoc
- Basic understanding of automation tools
