Jordy Luxe Transactions is a fast-growing, U.S.-based Transaction Coordination company seeking a highly experienced Transaction Coordinator Assistant to join our team.

You'll work directly alongside a Lead Transaction Coordinator supporting up to 60 active transactions across North Carolina, South Carolina (Hilton Head area), Maryland, Virginia, New Jersey, and Florida. Experience with Maryland, Virginia, and New Jersey is a significant advantage.
This is not a data-entry position. We're looking for someone who understands U.S. real estate transactions, appreciates structure and organization, and enjoys keeping every file accurate, current, and meticulously documented.
Position Details
- Part-Time: 20 hours per week (w/potential to become full-time and change to 9-6pm est)
- Schedule: Monday-Friday | 10:00 AM – 2:00 PM EST
- Location: Fully Remote (Philippines)
- Starting Compensation: $480 USD/month

Primary Responsibilities:
Transaction Coordination Support
- Handle transaction intakes and create new files in Aframe
- Review executed contracts and accurately enter transaction data
- Maintain complete, organized, and up-to-date transaction notes within Aframe
- Support a Lead Transaction Coordinator managing up to 60 active files
- Assist with listing coordination and MLS-related tasks as needed
- Assist with inbox management, including organizing, tagging, prioritizing, and responding to
- Schedule inspections, walkthroughs, closings, photography, and other appointments
- Coordinate deposits, escrow/title, inspections, and key transaction milestones
- Track contingency periods, deadlines, and transaction progress
- Follow up with lenders, attorneys/title companies, cooperating agents, inspectors, and vendors
- Prepare addenda, repair requests, and other transaction documents for review
- Prepare weekly status updates and transaction communications
- Prepare closing and post-closing deliverables
- Assist with post-closing wrap-up, document archiving, and client follow-up
- Compliance & File Management
- Conduct file audits to ensure accuracy and completeness
- Upload documents into brokerage compliance systems
- Verify all required documents, signatures, initials, and disclosures have been received
- Work through compliance deficiencies until files receive final approval
- Follow up with agents and vendors regarding missing documents
- Assist with commission processing and final compliance close-out
- Maintain detailed transaction notes so every file is current and audit-ready
Administrative Support
- Assist with inbox organization and
- Manage calendars and scheduling
- Organize Agent and Client Portal updates
- Assist with task management and project tracking
- Help improve internal processes, SOPs, and workflow documentation
- Perform other administrative and operational support tasks as assigned
Requirements
- Minimum 3 years of U.S. Real Estate Transaction Coordination experience (Required)
- Strong knowledge of the complete contract-to-close process
- Experience with North Carolina and/or South Carolina transactions preferred
- Experience with Maryland, Virginia, New Jersey, and/or Florida is a significant advantage
- Experience communicating with lenders, attorneys/title companies, co-op agents, inspectors, and clients
- Comfortable managing compliance deadlines, contingency periods, inspections, escrow, and closing preparation
- Experience supporting both Buyer and Listing transactions
- Excellent written and verbal English communication skills
- Highly organized with exceptional attention to detail
- Strong documentation habits and commitment to maintaining organized records
- Ability to manage multiple transactions simultaneously while maintaining accuracy
- Strong follow-through—tasks are owned until completed
- Comfortable working independently while collaborating with a remote team
- Ability to quickly learn new software and systems
