Virtual Assistant
Real Estate | Compass Platform

A residential real estate professional on the Compass platform is seeking a dependable, detail-oriented Virtual Assistant to run the daily marketing, communication, and CRM systems that keep the business moving. This is a part-time, long-term position for someone who takes ownership, follows through without being chased, and is comfortable being the operational backbone behind a busy agent.

We want someone who enjoys becoming an important part of a team, taking ownership of their work, and helping improve how the business operates over time.

Position Overview
Position Type: Part-time
Schedule: Monday–Friday, 8:00 AM–12:00 PM Mountain Time
Time Off: U.S. holidays paid
Team Meetings: 3 mandatory live Google Meet check-ins per week
Industry: Real Estate (Compass)
Core Tools: Compass, Matrix MLS, QuickBooks, CRM, Canva, Google Workspace, social media platforms
Weekly Rhythm

This role runs on a predictable weekly cadence. The following are due each week without fail:
Tuesday: Prepare and send weekly seller reports/updates
Thursday: Prepare and send the weekly newsletter
Friday: Send the open house / showings availability email
Due the 15th of Each Month:
All social media content prepped, loaded, and ready for automation across:
Instagram

Facebook
LinkedIn
Google Business

Daily Responsibilities:
Manage and respond to email
Support pre-listing coordination — prepping listing materials, timelines, and checklists before a listing goes live
Update and maintain contacts and the CRM
Provide backend/administrative support
Complete daily and recurring checklists
Follow up with leads via email and other written channels
Proactively flag anything that needs attention

Not Part of This Role:
Cold calling or scripted sales conversations
Contract-to-close transaction management

A clear, professional communicator by email, comfortable following up with leads
Self-directed and reliable — you manage your own time and hit recurring deadlines consistently
Comfortable switching between marketing, admin, and client-communication tasks in the same day
Trustworthy with sensitive client and business information

Required Qualifications:
At least 3 years of experience working as a Virtual Assistant
1–2 years of experience supporting a U.S. real estate agent or brokerage
Familiarity with the Compass platform (or ability to learn it quickly)
Proficiency with Matrix MLS
Proficiency with Canva
Experience with email marketing or newsletter platforms
Comfort using AI tools (e.g., ChatGPT) to support content and workflow
Experience building and maintaining real estate content calendars
Experience repurposing existing content into new formats (e.g., turning one video or post into several pieces of content)
Strong social media editing skills — Reels experience is very important
Comfortable managing a CRM: updating contacts, tracking leads, logging follow-ups
Excellent written English
Reliable high-speed internet and a quiet working environment
Required equipment: Mac computer, iPhone, and a headset
Available Monday–Friday, 8:00 AM–12:00 PM Mountain Time, plus 3 live Google Meet check-ins per week
