# Project & Operations Manager / Executive Assistant
We are a growing U.S.-based real estate company looking for an exceptional **Project & Operations Manager / Executive Assistant** to work directly with the owner and help organize, coordinate, and drive projects and operations forward.
This is not a highly specialized technical position. You do not need to be an engineer, architect, or construction expert.
We are looking for someone who is **extremely organized, proactive, reliable, resourceful, and good at getting things done.**
You will work directly with the owner while coordinating with team members, contractors, consultants, engineers, attorneys, brokers, vendors, and other professionals.
A major part of this role is making sure things don't fall through the cracks. You should be comfortable taking ownership, following up with people, creating systems, documenting processes, and keeping everyone organized and accountable.
## What You'll Do
### Project & Operations Management
* Manage projects, tasks, deadlines, and priorities
* Follow up with team members and outside professionals
* Make sure important tasks don't fall through the cracks
* Coordinate between different people working on the same project
* Maintain project trackers, spreadsheets, files, and documentation
* Follow up on permits, zoning research, due diligence, contracts, reports, and other project items
* Provide regular updates on project status
* Identify bottlenecks and help keep projects moving
* Take ownership of assignments rather than waiting to be told every next step
### Executive Assistant
* Work directly with the owner to help keep priorities organized
* Manage and follow up on action items
* Schedule and coordinate meetings
* Help organize
* Communicate with team members and outside professionals on the owner's behalf
* Research problems, gather information, and help find solutions
* Remind the owner and team about important deadlines and outstanding items
* Help turn ideas and conversations into organized action plans
### SOPs, Systems & Training
* Create and maintain Standard Operating Procedures (SOPs)
* Document company processes so they can be easily repeated
* Create checklists, workflows, training documents, and process guides
* Help train new and existing team members on company processes
* Make sure team members are following established procedures
* Identify inefficient processes and recommend improvements
* Keep SOPs and training materials updated as the company evolves
* Help build systems that allow the company to scale without becoming dependent on any one person
### Communication & Coordination
* Communicate with vendors, consultants, cities/counties, contractors, brokers, attorneys, and other professionals
* Coordinate information between different people working on the same project
* Follow up persistently when information or work is overdue
* Keep communication organized and documented

Experience in **project management, operations, executive assistance, real estate, construction, engineering, development, SOP creation, or team training** is helpful but not required.
