JOB OVERVIEW

We're hiring a Personal Executive Assistant for a multi-brand ecom founder based in Dubai.

Details: Remote, full-time (100% reliable person)
• $500–$3500/month depending on experience
• A+ player team across multiple brands
• Work directly with the founder
• GMT+4 timezone hours (Dubai)
• Long-term role that grows with the business

I'm an entrepreneur running multiple e-commerce brands. I'm based in Dubai, travel frequently between Europe and the Middle East, and manage several business entities.

I need one exceptional person to take everything off my plate that isn't high-level strategy or creative direction. If you're the type of person who figures things out before being asked, keep reading.

What you'll do:
• Book all flights, hotels, and transportation, research the best options, know my preferences, and handle everything from departure times to visa requirements without me having to think about it

• Manage my calendar across multiple time zones, schedule meetings, block focus time, flag conflicts, and never let anything fall through the cracks

• Think 3 months ahead at all times, track deadlines, renewals, visa expirations, lease end dates, upcoming trips, and send me weekly briefings so I'm never surprised

• Conduct research on anything I need, apartment comparisons, wealth management firms, office furniture, service providers, and present the top 2-3 options with a recommendation, not a data dump

• Manage communications with brokers, accountants, service providers, and legal contacts, draft emails, follow up, keep everything moving

• Handle admin for a secondary business (small e-commerce site), product updates, supplier coordination, small operational tasks

• Handle personal logistics, SIM registrations, bank appointments, sourcing purchases, coordinating local services in Dubai • Manage my inbox when needed, flag urgent items, draft responses, archive noise

What I'm looking for:
• Highly intelligent and resourceful, you figure things out on your own before escalating (if not we won't work with you!)

• Obsessively punctual and detail-oriented, you triple-check dates, times, and details because mistakes cost real money (if not we won't work with you!)

• Direct communicator, no fluff, no sugarcoating, you say what needs to be said clearly and immediately (if not we won't work with you!)

• Proactive and forward-thinking, you anticipate what's needed before being asked

• Exceptional written and spoken English (if not we won't work with you!)

• 2+ years experience as an EA, PA, or Chief of Staff, ideally for a founder, CEO, or HNW individual (if not we won't work with you!)

• Expert in Google Workspace, Slack, and project management tools (if not we won't work with you!)

• Trustworthy and discreet, you'll have access to sensitive business and personal information

After 30 days, I should never have to:
• Book my own flights or accommodation
• Chase anyone for a response
• Remember a deadline or renewal
• Research options for a decision, you present them ready for approval
