What You'll Do
Daily Executive Brief:
- Deliver a written executive summary to me every morning by 7:30 AM EST
- Cover: important
- Flag what's urgent vs. what can wait — don't just list, prioritize
Inbox & Communication Management
- Own my
- Draft and send responses on my behalf; escalate what needs me personally
- Nothing falls through the cracks — zero dropped messages
Calendar & Scheduling
- Full ownership of my calendar: booking, rescheduling, buffers, conflict resolution
- Coordinate meetings across time zones with clients, partners, and team
Business Spend Oversight
- Monitor every transaction that hits the business
- For each recurring charge: can we lower it, cancel it, consolidate it, or is it truly necessary?
- Negotiate with vendors, cancel unused subscriptions, and flag anything unusual
- The goal is zero bloat — I want you actively hunting for waste, not just reporting it
Contacts & CRM
- Build and maintain a clean, organized contact database
- Keep records current — names, roles, companies, notes, follow-up dates
Event Planning & Travel
- Book hotels, flights, and travel logistics
- Call and make reservations (restaurants, venues, services)
- Plan and coordinate events end to end
Client-Facing Support
- Join video calls and represent me and the company professionally
- Communicate with clients in a way that leaves them feeling taken care of

Requirements
- Excellent written and spoken English: you'll be communicating with U.S. clients daily
- Extremely responsive. Official hours are 7 AM – 4 PM EST, but you must be reachable and willing to respond to urgent messages evenings and weekends. This is a key part of the role — please don't apply if that doesn't work for you
- Very comfortable on camera daily video calls, Loom recordings, client meetings
- Confident and self-assured. You can hold a conversation with a U.S. business owner and make them feel good about it, and stun with your looks and body confidence!
- Proactive and resourceful — you solve problems instead of asking me what to do about every one
- Extremely organized with strong attention to detail
- Comfortable making phone calls (U.S. numbers) on my behalf
- Reliable internet, a quality webcam, headset, and a quiet, professional space for video calls
- Backup power and internet (or a plan for outages)
- 2+ years of executive assistant or high-level VA experience preferred
