We are a founder-led, early-stage company building software + operations in the home services space. We move fast and need a full-time Philippines-based Operations Executive Assistant / Trusted VA who is extremely organised, reliable, proactive, and comfortable owning recurring operational work.
This is not a “task-only” VA role. This is a high-trust role designed to create leverage for a founder: you keep the business tidy, move projects forward, and run follow-up loops so nothing drops.
What you will own (examples)
Founder “control tower”
Inbox triage and drafting replies for approval
Calendar scheduling, confirmations, and meeting prep notes
Follow-ups and chase lists (“waiting on…”, reminders, next steps)
Daily short updates in this exact format: Shipped / Blocked / Need decision / Tomorrow plan
Systems hygiene (non-negotiable)
Keep Google Drive/docs organised (naming, folders, version control)
Maintain a task tracker (hubspot, trello, tasks and projects)
Turn Looms/voice notes into simple SOPs and checklists
Maintain a running “priority list” and ensure tasks have owners, deadlines, and clear definitions of done
Research + execution support
Research vendors/tools/competitors and produce 1-page briefs with recommendations + links
Build and maintain databases (partners/leads/lists) with clean fields and notes
Website support: QA checks, link checking, simple content updates/publishing (Webflow is a plus)
Light finance admin support (not accounting decisions)
Keep receipts/invoices tidy and filed
Prepare bookkeeping hygiene (categorisation suggestions, reconciliation readiness)
Maintain a “questions for accountant” list
Tools (experience is a plus, not mandatory)
Google Workspace, Slack, trello, hubspot, CRM tools, Webflow, Xero, spreadsheets.
Working style
Full-time, 40 hours/week, Monday–Friday
Clear written English and crisp progress updates
You proactively surface blockers with options, not just problems
Comfortable with security basics: 2FA, password manager, separate logins, least-privilege access

Compensation
USD $1,500/month to start (full-time)
Increases for strong performance and long-term retention
