Role Overview
We are looking for an experienced, part-time Operations & Executive Assistant to support the day-to-day running of a private therapy practice and the Director in her work.
This is a front-facing role in a clinical setting. The role requires someone who can manage operations independently, communicate professionally with clients, and maintain accuracy across systems.
Key Responsibilities
- Manage scheduling of therapy sessions within defined guidelines
- Maintain accurate client records (sessions, frequency, packages, payments)
- Generate and send invoices; track payments and follow up on outstanding invoices
- Ensure consistency across scheduling, invoicing, and tracking systems
- Respond to client
- Use templates as guidelines and adapt responses based on context
- Create and format slides using PowerPoint or Canva
- Maintain and update spreadsheets accurately (clients, packages, payments)
- Support the Director in administrative and operational tasks
- Flag discrepancies or issues proactively
Requirements
- Minimum 7 years of relevant working experience, preferably in a clinic, healthcare, or similar professional setting
- Background in Psychology, Journalism, Business (MBA), or related fields
- Experience in clinic reception, patient coordination, or similar client-facing roles
- Strong attention to detail and accuracy
- Able to think through situations, not just follow instructions
- Good judgment in communication, especially in client-facing contexts
- Comfortable working across multiple systems (Excel/Sheets, Xero,
- Able to work independently without constant supervision
