Role Overview
This is more than a back-office role, it's a seat at the table as we scale. You'll keep the operational engine running (lease confirmation, invoicing, records accuracy), but just as importantly, you'll help us build the systems, hiring processes, and training infrastructure that let ALF grow into new markets and bring on new team members without losing quality. Sales/Client Success remains the client's single point of contact throughout, so your work is property-, systems-, and team-facing rather than client-facing.
We're looking for someone who's not just organized, but genuinely thinks in systems... someone who sees a repeated problem and wants to fix the process, not just the instance, and who's excited to grow with a mission-focused company as it scales.
Key Responsibilities
Lease & Property Confirmation
-Reach out to properties to confirm lease terms are finalized and accurately reflected in our records
-Verify lease completions and move-in status directly with properties
-Follow up on outstanding invoices/commissions with properties
Hiring & Team Building Support
-Screen resumes and conduct first-round interviews for future hires
-Help coordinate onboarding for new team members — paperwork, system access, and initial training
-Maintain our candidate pipeline/tracker so nothing falls through the cracks
Systems & Process Implementation
-Document and refine SOPs as the company scales (property confirmation process, invoicing workflow, and beyond)
-Help implement new tools and workflow changes across the team — not just use existing ones
-Own and maintain training materials (like our market guides) and keep them current as our processes evolve
Cross-Market Expansion Support
-Help stand up operational processes in new markets as ALF expands, based on what's working in Houston
Reporting & Visibility
-Track and report basic operational KPIs (lease volume, invoice turnaround, move-in confirmation rates) to keep leadership informed without needing to ask
Team
-Join and actively participate in weekly team meetings
What We're Looking For:
-Prior experience in operations, systems/process coordination, or a hybrid admin + hiring support role
-Excellent communication skills — written and verbal
-Highly organized, detail-oriented, and comfortable owning ambiguous problems, not just checklists
-Comfortable working across tools like Claude, Google Meet, GoHighLevel (GHL), Airtable, and AI-assisted workflows
-Some experience with hiring, screening, or onboarding is a strong plus
