NOW HIRING: CEO Assistant / Bookkeeper (Remote | Full-Time)

We are looking for a highly experienced Senior Executive Assistant to serve as the CEO’s second brain for a fast-paced media company operating across film, music, talent, production, and brand partnerships.

This is not a general administrative assistant role. We are looking for someone who can operate at an executive level, manage complex priorities, stay ahead of the CEO’s needs, and confidently handle significant financial and operational responsibilities.

Key Responsibilities
- Manage and organize a high-volume executive inbox
- Manage calendar, meetings, scheduling, and priorities
- Stay ahead of deadlines, follow-ups, and action items
- Handle high-volume bookkeeping and financial tracking
- Manage and organize invoices with an average invoice value of approximately $20,000
- Support bookkeeping and reconciliation across approximately $3M in overall financial activity
- Perform account and transaction reconciliation
- Track outstanding invoices, payments, and discrepancies
- Maintain accurate financial and operational records
- Coordinate across internal teams, partners, talent, and external stakeholders as needed

Non-Negotiable Requirements
- Strong bookkeeping experience
- Proven experience with reconciliation
- Comfortable handling high-value and high-volume financial transactions
- Strong executive-level email and calendar management experience
- Excellent organizational and prioritization skills
- Able to work independently with minimal supervision
- Comfortable operating in a fast-moving, multi-division company
- Strong judgment, attention to detail, and discretion when handling sensitive information
Ideal Candidate

The ideal candidate has previously supported a CEO, founder, or senior executive and understands how to anticipate needs rather than simply wait for instructions.

You should be equally comfortable managing an executive calendar, organizing a busy inbox, following up with stakeholders, and reviewing significant financial activity. Experience supporting a media, production, entertainment, agency, talent, or similarly fast-paced company is a strong advantage.

This is a senior-level placement. Candidates with only basic administrative or light bookkeeping experience may not be the right fit.
