We are looking for a highly organized, energetic, and detail-oriented Marketing Admin/Assistant to join our growing marketing team. This role is the operational backbone of the marketing department — keeping the team on track, managing communications, organizing assets, and ensuring nothing falls through the cracks.

While this is an administrative and coordination-focused role, the right candidate will have direct visibility into all marketing functions and will play a meaningful part in our team's daily success.

Responsibilities
Admin & Operations
* Maintain the Marketing Meeting Agenda document for bi-weekly Tuesday tea
- Follow up with tea
Build and organize the draft agenda with clear sections: Key Takeaways, Action Items, and Updates
* Monitor the shared marketing inbox daily; flag urgent messages and route to the appropriate tea
* Send follow-up messages to the team after meetings; track responses on assigned tasks and escalate anything missing or delayed
* Update and maintain task boards (MOS); mark task progress, follow up with task owners for status updates, and keep everything current
* Follow up on and manage internal operational requests to ensure timely resolution
* Manage and order business cards for tea
* Respond to all Google Business reviews in a timely and professional manner using preset, pre-approved response templates
* Manage ad-hoc tasks assigned
Content & Asset Management
* Organize and maintain Google Drive folders; uphold naming conventions and ensure videos, graphics, and reports are easy to locate
* Organize
* Manage YouTube publishing workflow: switch videos from unlisted to public after the required 24–48 hour hold period
* Maintain the content calendar: input posts, update statuses (Idea ? In Progress ? Ready for Approval ? Scheduled ? Posted), and keep the calendar accurate
* Collect content from designers and editors; organize for review; route for approval; track Approved vs. Needs Revision status; communicate updates back to the team
* Respond to social media direct messages using preset, pre-approved response templates
* Update the PR sheet immediately upon receipt of any publication request or press notice — accuracy and timeliness are critical for this task
* Manage the end-to-end podcast guest process: log guest information in Salesforce and handle all guest communications from initial outreach through confirmation to arranging intro call
Book — Order Management & Tracking
* Manage customer-facing order error communications: reach out to customers experiencing order issues and provide resolution or escalation
* Track all book orders and maintain up-to-date records on order status
Qualifications & Requirements
* Minimum 5 years of experience in the related field
* Associate's or Bachelor's degree preferred
* Excellent written and verbal English communication skills — clear, professional, and responsive
* Strong organizational skills with the ability to manage multiple tasks, deadlines, and workflows simultaneously
* High energy, self-motivated, and driven — able to work independently with minimal supervision
* Proficiency with standard productivity tools: Google Workspace (Drive, Docs, Sheets, Gmail, Calendar)
* Familiarity with project management or task board tools
* Comfortable working with social media platforms for monitoring and response purposes
* Experience with CRM tools such as Salesforce is a plus
* Experience with content platforms such as
* Prior experience in a marketing support or operations coordinator role preferred
* Reliable internet connection and a dedicated, distraction-free remote work setup
* Available to work during US business hours
