We are looking for someone who can own communication, coordination, and execution on the medical side of our business — ensuring nothing slips through the cracks between providers, patients, and internal teams.
This role is mission-critical to keeping our clinics compliant, organized, and running smoothly.
If you are proactive, detail-oriented, comfortable on the phone, and can handle responsibility without being micromanaged — this is for you.
ABOUT US
We are BoldMD, a fast-growing company helping doctors and clinic owners build and scale telehealth businesses.
We work with medical providers across the U.S., and our physician oversight partner manages compliance, approvals, and patient safety.
This role directly supports that function.
YOUR MISSION
You will be responsible for ensuring:
Providers are supported and communicated with promptly
Patients and clinics get timely responses
Medical processes are followed correctly
Nothing sits idle or gets missed
Communication between teams stays tight and professional
You are the operator behind the scenes making everything run smoothly.
RESPONSIBILITIES
Communication & Call Handling
Answer inbound calls professionally
Handle basic questions from clinics or patients
Route calls appropriately when needed
Maintain a calm, confident, and helpful tone
Physician & Clinic Coordination
Support physician oversight workflows
Communicate with doctors, clinics, and internal teams
Ensure requests are completed and followed through
Track outstanding items and push them to completion
Medical Admin Support
Assist with documentation and coordination tasks
Organize and track patient/provider requests
Ensure compliance-related steps are completed
Maintain accurate records and notes
Follow-Up & Task Execution
Follow up on outstanding items daily
Ensure nothing goes untouched for more than 24 hours
Keep everything moving forward without being asked
DAILY REPORTING (REQUIRED)
You will send a daily report including:
Tasks completed
Open items / pending requests
Issues or delays (with explanation)
Communication updates (providers, clinics, patients)
We need full visibility at all times
REQUIREMENTS
Excellent spoken and written English (MUST)
Comfortable answering phone calls (MUST)
Strong attention to detail
Highly proactive — you do NOT wait for instructions
Ability to manage multiple tasks and priorities
Reliable internet and work setup
BONUS (NOT REQUIRED BUT HUGE PLUS)
Experience in telehealth, medical admin, or healthcare support
Familiarity with medical terminology
Experience working with doctors or clinics
CRM experience (GoHighLevel or similar)
