Position Overview
The Virtual Executive Assistant (EA) will provide direct, high-level support to the CEO, helping manage daily operations, communications, and priorities. This role requires a proactive self-starter who can work independently, maintain strict confidentiality, and effectively support a U.S.-based healthcare executive in a fast-paced, regulated environment.
This position is ideal for an experienced VA who is highly organized, tech-savvy, detail-oriented, and comfortable taking ownership of tasks and follow-through.
Key Responsibilities
Executive & Calendar Support
Manage the CEO’s calendar, scheduling meetings across time zones
Coordinate virtual meetings, interviews, and internal check-ins
Prepare meeting agendas, notes, and action-item summaries
Track CEO tasks, deadlines, and commitments to completion
Protect the CEO’s time by prioritizing requests and communications
Communication & Administrative Support
Draft professional
Monitor and manage inbox communications as assigned
Serve as a communication bridge between the CEO and internal teams
Send reminders, follow-ups, and updates to ensure accountability
Operations & Workflow Support
Assist with document organization, file management, and data tracking
Support onboarding coordination (scheduling interviews, collecting documents)
Help track compliance-related documents and deadlines (training, credentials, etc.)
Maintain task trackers, SOPs, and operational checklists
Confidentiality & Compliance
Handle sensitive employee, client, and company information with discretion
Follow HIPAA and confidentiality standards (training provided)
Maintain professionalism and data security at all times
Special Projects
Assist with research, reports, and CEO-led initiatives
Support internal projects, audits, and process improvements
Help coordinate events, meetings, and internal communications
Required Qualifications
Proven experience as a Virtual Assistant or Executive Assistant
Strong organizational and time-management skills
Excellent written English and professional communication
High attention to detail and follow-through
Ability to work independently and meet deadlines
Reliable internet connection and dedicated workspace
Preferred Qualifications
Experience supporting U.S.-based executives or healthcare businesses
Familiarity with HIPAA or regulated industries
Experience with tools such as Google Workspace, Microsoft Office, Slack, Zoom, and task management platforms (ClickUp, Asana, Trello, etc.)
Comfort working across U.S. time zones
Work Expectations
