JOB OVERVIEW

McCracken Property Management is hiring a full-time Property Management and Executive Assistant to work US Pacific business hours. This is a permanent graveyard shift.

SCHEDULE (NON-NEGOTIABLE)
8:00 AM to 5:00 PM Pacific Time, Monday through Friday
1-hour unpaid lunch, 12:00 to 1:00 PM Pacific
In Manila that is 11:00 PM to 8:00 AM, Monday night through Saturday morning

ABOUT US
We are a property management company in southern Oregon managing 50+ doors, a mix of long-term rentals and short-term vacation rentals. You would report directly to the CEO.

LONG-TERM RENTAL (the core of this role)
Keep our LeadSimple CRM current and accurate
Support our ShowMojo AI on showing scheduling: monitor it, troubleshoot it, step in when it gets stuck
Process tenant applications and screenings in Rentvine
Draft leases, renewals and addenda in TenantTech
Update unit listings and property descriptions in Rentvine
Maintenance request intake, work order creation, vendor coordination, and closing the loop
Owner and tenant correspondence

SHORT-TERM RENTAL (mornings only, 8 AM to 12 PM Pacific)
Cover the guest message queue before our STR manager starts her day, including anything that came in overnight
Guest inquiries and booking messages in OwnerRez, supported by HostBuddy AI
Reservation verification and door code issues (Schlage)
Coordinate cleaners, turnovers and maintenance through Breezeway
Log damage claims with photos and follow through to resolution
Track tasks and handoffs in ClickUp
Our STR manager owns this side. You are covering the morning window and backing her up. We will train you on our STR process.

EXECUTIVE ASSISTANT
Calendar management across Pacific and Philippine time, including scheduling with owners and vendors
Inbox triage and drafting replies for CEO review
Bring problems using the 1-3-1 Method: 1 clearly defined problem, 3 researched options, 1 recommendation
Own small projects start to finish without being chased

SYSTEMS, SOPs AND AI
Write, update and organize SOPs for every recurring task you touch, so the process lives in documentation and not in your head
Keep our SOP library clean and findable. This is a real part of the job, not an afterthought.
We use AI throughout the business (ShowMojo AI, HostBuddy AI, and more coming). We want someone who looks at a repetitive task and asks how to automate or streamline it, not someone who just grinds through it faster.
You do not need to be an AI expert. You need to be curious and willing to learn. We will train you.

REQUIRED
Proven track record on US graveyard shift
Property management experience, long-term or short-term
Near-native written and spoken English. You will be on the phone with US owners, tenants and guests.
Comfortable on phone calls, video, and messaging. All three.
Highly organized, able to juggle several moving pieces at once without dropping any
Genuinely open to working with AI tools and improving how things get done
Proactive. We are hiring someone who notices the problem before we do.

PREFERRED (not required, we will train the gaps)
Rentvine, or a comparable platform (AppFolio, Buildium, Propertyware)
OwnerRez, Breezeway, ShowMojo, TenantTech, ClickUp, OpenPhone, Google Workspace

TECHNICAL REQUIREMENTS
High-speed internet with a backup connection
Quiet, dedicated workspace. You will take live calls.
Modern computer that can run 6+ SaaS apps at once
Time Doctor time tracking with periodic screenshots during clocked-in hours

WHAT WE OFFER
$900 to $1,300 per month depending on experience
Paid on the 1st of the following month, after the month worked is complete, via Wise
13th-month bonus paid December 1st
Philippine legal holidays observed, not US holidays
Paid time off
