I run a growing U.S.-based online business and am looking for a highly organized, resourceful person to work directly with me on operations and special projects.
This is an operations-heavy, execution-focused role working directly with the founder — not a traditional calendar-and
I spend a significant amount of time developing business strategy, designing systems, solving problems, and identifying new initiatives.
I need someone who is especially good at taking those ideas, decisions, projects, and sometimes messy information and helping turn them into clear, organized, completed execution.
Sometimes you will receive a clear plan and be responsible for executing it.
Other times, you may receive only an objective or partially defined problem. For important projects, I often want to understand and help architect the execution plan myself. Your job is not to remove me from important decisions. Your job is to remove the unnecessary research, organization, coordination, follow-up, and administrative work surrounding those decisions — and then help drive the resulting plan to completion.
For routine, inexpensive, and reversible work, you should increasingly be able to make reasonable decisions and proceed independently.
Examples of Work You May Handle
Your responsibilities may include:
Turning discussions and decisions into organized projects
Preparing possible execution plans for founder review
Tracking initiatives, open loops, blockers, and next actions
Conducting operational research
Researching vendors, software, tools, and alternatives
Producing concise decision briefs
Coordinating implementation after decisions are made
Following up with team members, contractors, and vendors
Organizing hiring processes
Supporting employee/contractor onboarding and offboarding
Maintaining operational documentation
Building and updating SOPs and checklists
Organizing accounts, access, files, and information
Coordinating work involving different specialists
Taking non-specialist operational work away from technical team members
Finding forgotten, blocked, or stalled work
Collecting operational metrics
Identifying recurring work that should be standardized
Structuring processes so they can eventually be automated
Helping protect founder and specialist attention
The exact work will vary. This is a generalist operations role rather than a narrowly defined repetitive position.
The Person I'm Looking For
Your previous job title matters less than how you operate.
You create clarity from messy information.
You can take scattered messages, documents, requirements, research, and unfinished ideas and determine what is happening, what matters, and what needs to happen next.
You close loops.
If something was started but never actually completed, you notice.
You don't confuse:
“I sent the message”
with:
“The problem is solved.”
You can figure things out.
Incomplete instructions do not cause you to immediately stop and ask for step-by-step directions.
You research, investigate, make reasonable assumptions, and move forward where appropriate.
You also know when NOT to act independently.
Being resourceful does not mean being reckless.
You should learn the difference between an inexpensive, reversible decision you can make yourself and an expensive, sensitive, or consequential decision that should be brought to me.
You communicate concisely.
If you spend two hours investigating something complicated, I usually should not need two hours to understand what you found.
A strong outcome might be a short summary containing:
what matters,
what you found,
what you recommend,
and what decision, if any, you need from me.
You follow through.
If a vendor doesn't respond, information is missing, or a project encounters friction, you don't simply allow the project to disappear.
You determine the appropriate next action.

What This Role Is NOT
This is not primarily:
Calendar management
Email
Data entry
Customer service
Social media management
Website production
Software development
A repetitive task-based VA position
Some administrative work will exist, but the larger purpose is operational execution and follow-through.
Hours
The position will begin at approximately 15–20 hours per week.
There is potential for additional hours and responsibility if you demonstrate strong judgment, reliability, independence, and the ability to take meaningful operational work off the founder and other team members.
Compensation
$5–$7 USD/hour, depending on demonstrated capability and experience.
AI Use
Using AI is allowed and encouraged.
I care about the quality of your judgment and final work, not whether you used AI to help you research, organize, or produce it.
Simply copying generic AI output without thinking about it will not be useful in this role.
Hiring Process
I care more about demonstrated ability than interviewing skill.
The hiring process will likely include:
Short application and operational exercise
Short paid practical assessment for selected candidates
Paid working trial for finalists
The exercises are designed around realistic operational situations rather than trivia or academic questions.
