JOB OVERVIEW

We are looking for an EXPERIENCED Real Estate Executive Assistant who can confidently operate in a fast-paced property management and real estate environment.

This is NOT an entry-level role. We need someone who already understands the demands of real estate operations, can adapt quickly, communicate professionally, and take ownership of tasks with minimal supervision.

If you are not confident in your ability to deliver a high-level Real Estate Executive Assistant experience, please do not apply.

*********Preferred Experience & Platforms:

Candidates with hands-on experience using the following platforms — or anything similar — will be highly preferred for faster onboarding and adaptability:

Breezeway (property inspections & operations)
Track Software
Akia (guest messaging)
CompanyCam (maintenance documentation)
Safely (insurance/protection platform)

Experience in property management, vacation rentals, maintenance coordination, or real estate operations is strongly preferred.

*********Responsibilities:

Including but not limited to:

Managing day-to-day administrative and operational tasks
Coordinating guest communications and support
Handling inspections, maintenance coordination, and follow-ups
Tracking tasks, updates, and operational workflows
Maintaining organized records, reports, and documentation
Assisting with scheduling and vendor coordination
Supporting the team in ensuring smooth property operations
Responding proactively to operational issues and urgent matters when needed

Proven experience as a Real Estate Executive Assistant, Property Management Assistant, or similar role
Strong organizational and communication skills
Tech-savvy and quick to learn new systems/platforms
Ability to multitask and work efficiently under pressure
Reliable, proactive, and detail-oriented
Must be a strong team player
Must be committed to a full-time role
We are looking for someone who can give 100% commitment to this role
Preferably no other active clients or major side commitments to ensure full focus and availability
Flexible with schedules, shifting days off, and operational changes based on business needs
Comfortable working Hawaii Time schedules
