Summary
ROLE OVERVIEW
The Executive Secretary & Communications Manager provides direct support to the CEO while coordinating daily operational tasks across the organization. This role ensures priorities are tracked, systems stay organized, and execution moves forward across teams.
This position is ideal for a highly organized, detail-oriented professional who excels at follow-up, documentation, systems coordination, and professional communication in a remote environment.
CORE RESPONSIBILITIES
Executive Support
•Manage the CEO’s calendar, meetings, agendas, and task follow-ups
•Draft and organize executive communications and documents
•Capture meeting notes and track action items to completion
•Handle sensitive information with discretion and professionalism
Operations Coordination and Management
•Track tasks, deadlines, and updates across departments
•Follow up with tea
•Consolidate updates into clear summaries for the CEO
•Identify stalled items and escalate appropriately
Systems Administration Support (Operational)
•Coordinate system access, permissions, and offboarding as directed
•Maintain organization of project management tools and file systems
•Enforce naming conventions, documentation standards, and system hygiene
•Provide first-line operational support for tools and softwares
Negotiation & Follow-Through Support
•Support negotiations through professional outreach, follow-ups, and documentation
•Communicate confidently with vendors, partners, and stakeholders to move matters toward resolution
•Assist in closing loops on agreements, approvals, and commitments as directed by leadership
Documentation & SOP Support
•Maintain and update Standard Operating Procedures (SOPs)
•Organize onboarding materials and internal documentation
•Support training libraries and process documentation
Social Media Management
•Schedule and post content on social media platforms
•Create simple captions and coordinate content ideas with the team
•Monitor messages and comments and respond or escalate as needed
•Track basic engagement and provide simple updates
Lead Generation
•Research and collect potential leads based on given criteria
•Manage and update lead lists or CRM
•Assist with outreach and follow-ups
•Track leads and report basic results
Finance Operations Assistance (Lending & Capital Support Only)
• Assist CEO with preparation of mortgage, refinance, and business loan applications
• Compile and organize required documentation for lenders (entity documents, contracts, financial statements provided by CEO)
• Track loan application timelines, conditions, and lender follow-ups
• Coordinate communications with banks, lenders, and brokers as directed
• Maintain organized digital files of lending documents and executed loan packages
• This role does NOT review, manage, or oversee company accounting records or bookkeeping functions
QUALIFICATIONS
• 2–4+ years experience as an Executive Assistant, Operations Coordinator, or similar role
• Strong organizational and communication skills
• Comfort working with tools such as Microsoft 365, Google Workspace, ClickUp, Slack, or similar
• Confidence to follow up, negotiate details, and drive matters toward completion
• High attention to detail and strong follow-through
• Ability to work independently and take direction
