We are looking for a highly capable Executive & Personal Assistant to work directly with the Director of a growing Australian business.
This is not a basic VA or data-entry position.
The purpose of this role is to reduce the Director's administrative workload, keep priorities organised, follow up outstanding matters and make sure important things do not get forgotten or unnecessarily require the Director's involvement.
The right person will eventually understand what they can handle themselves, prepare for a decision, follow up, delegate or escalate.
Responsibilities
- Organise and prioritise the Director's inbox.
- Draft and prepare
- Follow up unanswered
- Manage calendar, appointments, meetings and interviews.
- Maintain priority, follow-up and decision lists.
- Turn conversations and meetings into clear action items.
- Follow up staff, suppliers and other parties for updates.
- Prepare information before decisions are required.
- Research products, suppliers, travel, services and business matters.
- Compare options and summarise recommendations clearly.
- Assist with travel planning and bookings.
- Organise documents and information.
- Assist with personal appointments and administration when required.
- Keep track of deadlines and commitments.
- Identify tasks that can be taken off the Director's plate.
- Use AI and automation to improve efficiency.
- Maintain strict confidentiality.
- Proactively identify better ways to organise the Director's workload.
What We're Looking For
Essential
- Previous EA/PA experience supporting a business owner, founder, CEO, director or senior executive.
- Excellent spoken and written English.
- Excellent judgement and common sense.
- Extremely organised.
- Strong attention to detail.
- Concise communication.
- Excellent follow-through.
- Comfortable following up people without being reminded.
- Able to distinguish urgent from merely important.
- Strong Gmail, Google Calendar, Google Drive and Google Workspace skills.
- Comfortable using ChatGPT and other AI tools.
- Able to research independently and provide recommendations.
- High discretion and confidentiality.
- Proactive rather than waiting for instructions.
What Success Looks Like
The Director should increasingly be able to say:
“Handle it.”
and trust that it will either be completed or brought back with a clear recommendation.
You should not simply forward information.
Instead of:
“You received this
we prefer:
“This needs a decision by Friday. I checked the options, recommend B for these reasons, and I've prepared the reply for your approval.”
The objective is to save the Director time and mental workload.
Working Hours
Monday–Friday: Sydney business hours
Occasional flexibility may be required, but regular Saturday work is not currently required.
Pay
US$5–7/hour depending on experience
For an exceptional EA who demonstrates strong judgement, initiative and genuine executive-support experience, we're willing to pay accordingly.
