Executive Operations Manager / Integrator

Full-Time | Remote | Philippines | Supporting Multiple U.S.-Based Businesses

THIS IS NOT A TRADITIONAL VIRTUAL ASSISTANT POSITION.

We are looking for an unusually capable Executive Operations Manager / Integrator to work directly with the owner of multiple growing U.S.-based businesses.

We need someone who can take an entrepreneur’s ideas, projects and vision and turn them into completed results—without requiring detailed step-by-step instructions or constant owner follow-up.

WHO YOU WILL WORK WITH

You will work directly with a fast-moving American entrepreneur who is highly driven, direct, decisive and constantly generating ideas and opportunities.

You must be able to carry a confident, professional conversation with a strong American personality without becoming intimidated, defensive or passive.

We specifically expect you to respectfully challenge the owner when necessary.

If:

* A deadline is unrealistic
* The team does not have sufficient capacity
* A project is being approached incorrectly
* Something cannot be accomplished as requested
* Another solution would produce a better result

We expect you to say so.

We don’t want:

“That can’t be done.”

We want:

“That timeline won’t work because of X and Y. Here are the options I recommend instead.”

Your job is not to agree with the owner. Your job is to help the owner and businesses win.

WHAT YOU WILL OWN

You will:

* Translate owner vision and objectives into executable projects.
* Determine next actions without waiting for detailed instructions.
* Break projects into milestones, tasks, owners, deadlines and dependencies.
* Assign and delegate work across the team.
* Prioritize competing projects based on urgency, revenue impact, customer impact and available capacity.
* Monitor workloads and identify when priorities or deadlines must change.
* Follow up with team members so the owner doesn’t have to.
* Identify and remove roadblocks before they become emergencies.
* Resolve routine problems independently.
* Escalate only decisions that genuinely require the owner.
* Hold team members accountable for commitments, quality and deadlines.
* Coordinate larger projects with leadership.
* Run project and accountability meetings.
* Maintain accurate project-management systems, dashboards and SOPs.
* Provide concise executive updates: completed, in progress, blocked, decisions needed and next actions.
* Keep projects moving until they are actually completed.

WHAT SUCCESS LOOKS LIKE

The owner should rarely need to ask:

“Whatever happened with _____?”

You already know.

You followed up. You removed the roadblock. You reassigned it if necessary. Ideally, it’s already done.

When the owner says:

“Here’s what I’m trying to accomplish…”

Your instinct should be:

“Understood. I’ll determine what needs to happen and bring back the execution plan and any decisions I need from you.”

High agency: You act without waiting to be told every step.

Exceptional follow-through: Open loops bother you.

Strong judgment: You understand what you can decide independently and what genuinely requires owner approval.

Prioritization: You distinguish revenue-producing and urgent work from work that can wait.

Confidence and executive presence: You can respectfully challenge a strong personality.

Resourcefulness: When Plan A fails, you find Plan B.

Accountability: You own mistakes and solve them rather than explaining them away.

Leadership: You can direct professionals, coach them and hold them accountable.

Organization: You can manage numerous simultaneous projects without losing control.

Excellent spoken and written English: You can comfortably carry substantive conversations with American executives.

Business thinking: You think about outcomes, revenue, customers, deadlines, capacity and ROI—not merely completing assigned tasks.

EXPERIENCE & SKILLS

Strong candidates may have experience as an:

* Operations Manager
* Executive Operations Manager
* Chief of Staff
* Senior Project Manager
* BPO Operations Manager
* Account/Client Operations Manager
* Integrator
* Similar leadership position

Preferred experience:

* 5+ years professional experience.
* 2+ years managing people and/or complex projects.
* Experience directly managing multiple employees.
* Experience working directly with U.S. executives, entrepreneurs or clients strongly preferred.
* Experience managing remote teams.
* Experience managing multiple simultaneous projects.
* ClickUp or comparable project-management software.
* Google Workspace and spreadsheets.
* Slack and Zoom.
* Strong working knowledge of AI tools.
* GoHighLevel familiarity is a plus.

A COLLEGE DEGREE IS LESS IMPORTANT TO US THAN DEMONSTRATED ABILITY AND RESULTS

COMPENSATION

Competitive compensation based on experience and demonstrated ability.

This is intended to be a long-term, full-time position with opportunities for increased responsibility and compensation based on performance.
