# Executive Operations Manager, Founder’s Office

**Full-Time | Remote | $1,200–$1,800 USD per month**

## The Company

Career Propulsion is a seven-figure executive career coaching company. We help experienced professionals pursue unadvertised VP and C-suite opportunities.

Our remote team works across sales, marketing, coaching, client success, partnerships, technology, and operations.

We are hiring an **Executive Operations Manager** to work directly with the Founder and CEO.

## Your Mandate

Make sure the company’s priorities get executed without the Founder personally tracking, reminding, coordinating, or chasing everyone.

You will turn decisions, meetings, voice notes, messages, and ideas into organized projects with clear owners, deadlines, next actions, and follow-through.

This role combines operations management, project management, and senior executive support.

It is not a traditional executive assistant role. It is not a passive project coordinator role.

You own the execution system, even when other people own the work.

## What You Will Own

### Company-Wide Execution

* Maintain one reliable command center for every major company project
* Convert discussions and ideas into clear actions
* Define the owner, deadline, priority, next step, and definition of done
* Track progress and follow up until work is completed
* Identify stalled projects, unclear ownership, missed commitments, and execution risks
* Escalate problems before deadlines are missed
* Confirm completion through evidence, not verbal assurances

### Founder Support

* Manage the Founder’s priorities, calendar, commitments, and follow-ups
* Turn voice notes, WhatsApp messages, emails, and conversations into organized actions
* Prepare the Founder for important meetings and decisions
* Organize information into concise, decision-ready updates
* Draft internal messages and selected external communications
* Protect the Founder’s time from avoidable meetings, administrative work, and low-value interruptions
* Push back when priorities conflict or the company is attempting too much at once

### Meetings and Accountability

* Prepare agendas and materials before important meetings
* Capture decisions, owners, deadlines, and unresolved questions
* Enter action items into the project system on the same day
* Follow up directly with tea ---------- mbers
* Surface overdue commitments and require recovery plans
* Ensure meetings produce completed work, not merely notes

### Dashboard and Reporting

* Ensure the company dashboard is fully updated and accurate every Sunday
* Collect missing information from the relevant owners
* Validate reported numbers and flag inconsistencies
* Provide concise daily and weekly updates covering:

* What moved
* What stalled
* What is overdue
* What requires a decision
* What could become a problem

### Business Operations

* Improve workflows across sales, marketing, client delivery, partnerships, and administration
* Build and maintain SOPs, checklists, and recurring workflows
* Coordinate hiring, onboarding, contractors, and vendors
* Identify work that should be eliminated, delegated, standardized, or automated
* Coordinate technical projects without needing to be the technical builder
* Ensure new processes are adopted and used

## Your Authority

You will be expected to:

* Follow up with any tea ---------- mber
* Challenge vague ownership and unrealistic deadlines
* Request evidence that work has been completed
* Escalate missed commitments and operational risks
* Recommend changes to priorities, processes, and meetings
* Push back respectfully on the Founder
* Ask what should be deprioritized when new work is introduced

You will not directly manage every employee. You will manage the company’s execution process.

## What Success Looks Like Within 90 Days

* Every major priority has a clear owner, deadline, status, and next action
* The company dashboard is accurate and updated every Sunday
* Important meeting actions are documented on the same day
* Overdue work is followed up within one business day
* Significant risks are surfaced before the deadline
* The Founder spends substantially less time chasing updates
* Projects continue moving without constant Founder intervention
* No important responsibility disappears because attention shifted elsewhere

## Who You Are

You naturally close loops.

When someone says, “I will handle it,” you clarify what will be delivered, when it is due, and how completion will be confirmed.

You are organized, direct, persistent, and calm under pressure. You can manage details without losing the broader business objective.

You do not wait for perfect instructions. You ask the necessary questions, recommend a path forward, and move the work.

## Required Experience

* At least four years in operations, project management, executive support, or a related role
* At least two years working directly with a Founder, CEO, or senior executive
* Experience managing multiple cross-functional projects
* Excellent written and spoken English
* Strong prioritization, judgment, and follow-through
* Ability to write concise executive updates
* Experience building project trackers, dashboards, workflows, or SOPs
* Comfort holding people accountable regardless of title
* High discretion with confidential information
* Reliable computer, internet connection, and remote working environment

Experience with Airtable, Slack, Google Workspace, Close, GoHighLevel, Calendly, Zapier, Make, or similar tools is helpful but not required.

## Schedule and Availability

This is a full-time role and must be your primary professional commitment.

Most work will take place Monday through Friday, with at least four hours of daily overlap with U.S. Eastern Time.

You are not normally expected to work throughout the weekend. However, this is not a rigid 9-to-5 role.

Career Propulsion operates across several time zones. Important deadlines, launches, meetings, or problems may occasionally require action outside normal working hours.

Some responsibilities have fixed weekend deadlines. The company dashboard, for example, must be complete and accurate every Sunday.

You are expected to remain reasonably reachable when something important cannot wait and to manage your schedule around known responsibilities.

This does not mean being constantly online. It means that ownership does not automatically stop when standard office hours end. Flexibility should work in both directions.

## Compensation

* **$1,200–$1,800 USD per month**
* Final compensation will depend on demonstrated experience, judgment, communication ability, and level of operating ownership
* Long-term, full-time opportunity

* Performance and compensation review after 90 days
