We are hiring an Executive Operations Admin (Founder Support) to run the operational backbone of client delivery and internal workflows. This role exists to create structure, reliability, and execution discipline so the founder and technical team can stay focused on high value work. Your success will be measured by how much operational load you take off the founder week over week. You will work closely with the founder on meeting preparation, documentation, task coordination, and follow ups.
This is not a sales role. There are no cold calls, no lead targets, and no quotas. All sales and SDR activity is handled externally.
This role is for someone who values precision, systems, and ownership. You will not be micromanaged, but you will be held to a high bar for accuracy, follow through, and documentation quality.

KEY RESPONSIBILITIES
• Own scheduling and coordination of team and client meetings using Zoom and Motion
• Prepare and distribute meeting agendas ahead of all calls
• Capture clear call notes, decisions, and action items
• Maintain clean, structured documentation in SharePoint and Notion
• Prepare and update Gamma decks for client check ins (slides, screenshots, notes)
• Keep Motion tasks accurate, current, and properly prioritized
• Update SOPs, checklists, and workflow documentation as processes evolve
• Maintain basic CRM hygiene in Zoho (notes, tags, simple updates)
• Coordinate LinkedIn post scheduling and website updates (no copywriting required)
• Use ChatGPT and Perplexity to summarize information and streamline workflows
WEEKLY PERFORMANCE EXPECTATIONS
• 100 percent of Motion tasks up to date
• All agendas prepared before meetings
• All call notes and action items filed correctly in Notion and SharePoint
• SOP and checklist updates logged when processes change
• All documents stored in the correct client folders
HOW WE WORK
• All work performed exclusively inside misterdata systems (ChatGPT, SharePoint, Notion, Motion, Zoho)
• All credentials stored only in the company 1Password vault
• Strict NDA and confidentiality compliance
• Timeproof required during the first 60 days for onboarding and alignment
• After 60 days, performance is evaluated on outcomes, not hours
• Full exclusivity. No freelancing, external clients, or side work

STRUCTURED ONBOARDING
Week 1
• Tool access and setup
• Guided walkthroughs of Notion, SharePoint, Motion, and Zoho
• Review of SOPs and observation of selected client meetings
Week 2
• Low risk execution tasks (filing, draft agendas, call notes) with review
• Guided practice on Motion task updates and documentation standards
Independent ownership begins in Week 3 once systems and quality expectations are met.
HOLIDAY POLICY
• All Philippine regular and special non working holidays are honored
• Holidays apply starting on the employment start date
• Day swaps allowed with advance coordination if client delivery is not impacted
• Holidays and leave tracked in a shared calendar
REQUIRED SKILLS
• Strong written and spoken English
• High attention to detail and accuracy
• Experience maintaining documentation and task trackers
• Comfortable with modern cloud tools
• Ability to follow SOPs and self review work before submission
• Reliable internet and professional work environment for client calls
PREFERRED
• Experience supporting a founder, director, or senior manager
• Startup or small team experience
• Background as executive assistant, operations admin, project admin, or founder support role
SCHEDULE
• Full time, 40 hours per week
• Availability required Monday to Friday, 8:00 am to 4:00 pm US Eastern Time
COMPENSATION AND GROWTH
• Monthly salary: USD 800 to start. misterdata is in a rapid growth phase. As scope, ownership, and responsibility increase in this Executive Operations Admin (Founder Support) role, compensation is reviewed and can reach the USD 1,000 per month range within 12 months.
