Role Overview
We are seeking a highly organized, tech-savvy, and detail-oriented Executive Assistant to support a global founder and investor. This is a dual-focus role: you will manage a complex professional calendar and investment-related administration while simultaneously acting as a luxury travel curator and lifestyle manager.
The ideal candidate thrives in a fast-paced, international environment and has a "zero-fail" mentality regarding scheduling and logistics.
Key Responsibilities
1. Bespoke Travel & Experience Design
End-to-End Planning: Research, plan, and book high-end international trips (adventure, luxury, and cultural immersion).
Bespoke Itineraries: Create detailed "high-quality" travel decks or Notion pages including restaurant reservations, local transport, and "off-the-beaten-path" experiences.
Logistics Management: Handle visa requirements, flight bookings (Emirates/Star Alliance), and hotel coordination (Marriott Bonvoy/Boutique).
2. Calendar & Workflow Management
Gatekeeping: Manage a complex, multi-timezone calendar, prioritizing high-value business meetings and investment calls.
Process Optimization: Maintain and build Notion databases to track investments, real estate portfolios, and project statuses.
In-Box Triage: Monitor communications to ensure urgent matters are surfaced and routine tasks are handled autonomously.
3. Project & Lifestyle Support
Data Management: Create and maintain Notion tables for lifestyle optimization (e.g., longevity protocols, workout schedules, or collection management).
Research: Conduct deep-dive research into new business ventures, "good-for-you" consumer products, or real estate opportunities.
Personal Admin: Coordinate with private chefs, household staff, or local service providers across multiple residences (UAE, Europe, US).
Requirements
Experience: 5+ years as an EA for professional individuals or founders.
Excel and/or Notion Advanced User: Ability to build relational databases, formulas, and aesthetically clean dashboards.
Travel Expertise: Deep knowledge of luxury travel landscapes and the ability to find "elevated" dining and hospitality experiences.
Communication: Fluent, high-level English (written and verbal). Ability to draft professional correspondence and interact with high-level stakeholders.
Mindset: Proactive, autonomous, and comfortable with ambiguity. You don't just find problems; you bring three solutions.
Technical Stack
Workspace: Google Workspace (Gmail, Calendar, Drive). Microsoft (Outlook).
Organization: Notion (Advanced level).
Communication: WhatsApp.
Compensation & Benefits
Competitive monthly retainer (experience-dependent). $900-$1100 for full-time. $500-$600 for part-time.
