I am a US-based physician with an active clinical practice and several business ventures in the healthcare space. My work spans patient care, online education, and health technology — and I need reliable, organized support to keep everything running smoothly.
I need a highly organized, intelligent, and proactive Executive Assistant who can serve as the operational backbone of my professional life — someone who takes ownership, thinks ahead, and gets things done without needing to be micromanaged.
This is not a typical EA role.
You will support a busy physician across both clinical and business operations — handling communications, documentation, research, and scheduling across multiple concurrent projects. If you thrive in a fast-paced environment and enjoy bringing order to complex work — this role is for you.
Core Responsibilities
This is a full-time, long-term remote position. You will handle a wide range of administrative and operational tasks across both clinical and business activities. You must be comfortable managing multiple priorities simultaneously and working independently with minimal supervision.
RESPONSIBILITIES
Manage calendar, scheduling, and appointments across multiple time zones
Handle
Organize and maintain files in Google Drive (documents, reports, contracts, protocols)
Transcribe and format voice-dictated notes into polished Google Docs
Track tasks and action items across concurrent projects and follow through on deadlines
Coordinate with contractors, vendors, clinical staff, and external partners
Conduct research tasks — medical, regulatory, business, and administrative
Assist with formatting presentations, business documents, and one-pagers
Monitor and triage inboxes; flag priority items and respond to routine inquiries
Support light bookkeeping and expense tracking in Google Sheets
Assist with social media scheduling and basic online presence tasks
REQUIREMENTS
Excellent written and spoken English (C1 or above)
Expert-level Google Workspace — Docs, Sheets, Gmail, Drive, Calendar
Strong transcription and document formatting skills
Prior experience as a VA or EA supporting a business owner or executive
Highly organized, detail-oriented, and proactive
Able to handle confidential medical and business information with discretion
Reliable internet connection and a dedicated, quiet workspace
NICE TO HAVE
Background in healthcare administration or medical settings
Experience with research tasks (PubMed, regulatory, market)
Familiarity with Canva, slide design, or basic content tools
Experience with project tools such as Asana, Notion, or ClickUp

A signed Non-Disclosure Agreement (NDA) is required before work begins. This role involves access to protected health information (PHI), confidential business materials, and sensitive legal documents. You must be comfortable handling all such information with strict discretion. Confidentiality obligations apply during and after employment.
