Executive Summary

Bellaura is seeking an exceptionally capable Executive Assistant to work directly with its founder and CEO. This is a high-trust role for someone intelligent, ambitious, organized, and unusually strong at turning priorities into completed work. The position can grow into an Operations Manager role with responsibility for interviewing, hiring, delegating to, and leading a team of specialized virtual assistants.

The Opportunity

Bellaura is an early-stage technology startup building a platform for creators, creative professionals, events, collaboration, and bookings.

Our team includes several Microsoft engineers and other experienced U.S.-based professionals currently contributing for equity because they believe in the company’s potential. This Executive Assistant will be one of a small number of team members receiving cash compensation during the company’s early stage.

This is not intended to remain a traditional assistant role. The right person will become the CEO’s operational right hand, take ownership of increasingly important responsibilities, and grow based on performance rather than tenure.

What You Will Do
Executive support and priority management
Organize the CEO’s calendar, meetings, priorities, reminders, and follow-ups.
Turn conversations and ideas into clear action items.
Track commitments and ensure important work is completed.
Assist with both business and reasonable personal administrative needs.
Project and operations coordination
Maintain project trackers, deadlines, owners, and next steps.
Coordinate team members, creators, contractors, vendors, events, and other projects.
Identify stalled work, missing information, and approaching deadlines.
Create checklists, procedures, templates, and repeatable systems.
Communication and follow-through
Draft professional emails, messages, meeting notes, and follow-ups.
Coordinate people across different schedules and time zones.
Follow up firmly and professionally when work is overdue.
Communicate problems early and provide concise progress updates.
Research and decision support
Conduct thorough online and ChatGPT-assisted research.
Compare candidates, vendors, tools, services, and opportunities.
Summarize findings clearly and recommend practical next steps.
Use Excel or similar spreadsheets to organize and evaluate information.
Recruiting and team leadership

As trust and responsibility increase, you may:

Write job descriptions and review applications.
Interview candidates and evaluate trial projects.
Recommend or make hiring decisions.
Onboard and manage specialized virtual assistants.
Delegate work, review quality, and hold team members accountable.
Who We Are Looking For

We are looking for someone who is:

Highly intelligent, resourceful, and quick to learn.
Fluent in written and spoken English.
Extremely organized, punctual, and dependable.
Able to execute quickly without becoming careless.
Comfortable juggling many responsibilities at once.
Self-directed and able to make progress without constant supervision.
Confident following up, delegating, and holding others accountable.
Discreet and trustworthy with confidential information.
Comfortable working in an early-stage company where priorities evolve.

Previous executive-assistant, founder-support, project-coordination, recruiting, or operations experience is strongly preferred.

A completed bachelor’s degree is required. Some Excel experience and strong proficiency using ChatGPT for research are preferred, but no specific software background is mandatory.

Academic and Personal Achievement

We are interested in more than simply whether you completed a degree. Strong candidates will have demonstrated meaningful achievement through academics, extracurricular activities, entrepreneurship, leadership, or independent projects.

Relevant examples include:

Graduating with honors or earning a competitive scholarship.
Leading a student organization or major extracurricular initiative.
Building a profitable side business or successful freelance practice.
Organizing an event, community, project, or campaign.
Winning a competition or completing a difficult independent goal.
Managing demanding work and personal responsibilities while performing at a high level.

The central question is: What have you accomplished through your own initiative, beyond what was required of you?

The Type of Person Who Will Succeed

You will likely succeed in this role if you naturally:

Take ownership instead of waiting for instructions.
Solve problems rather than only reporting them.
Close loops and follow through without repeated reminders.
Prioritize effectively when many things appear urgent.
Accept direct feedback and improve quickly.
Understand when to act independently and when to ask for approval.
Want to become a leader, not remain limited to assigned administrative tasks.
Career Growth

The role will begin as Executive Assistant to the CEO and may grow into an Operations Manager position based on demonstrated performance and company needs.

Growth may include:

Taking ownership of the CEO’s operating systems and priorities.
Managing recurring workflows and projects independently.
Creating processes that improve company execution.
Recruiting and managing additional virtual assistants.
Leading parts of the company’s day-to-day operations.

There is no guaranteed promotion timeline. Greater responsibility and compensation will be earned through excellent judgment, reliability, leadership, and measurable results.

Schedule and Compensation
Part-time initially, with the opportunity to become full-time within several months.
Flexible working schedule with required attendance at specific meetings.
Starting compensation of $5–$10 USD per hour.
Compensation can increase based on performance, responsibility, and company growth.
Finalists may be asked to complete a short paid trial project.
How to Apply

Please submit your resume or CV, current location in the Philippines, weekly availability, preferred hourly rate, and answers to the following three questions:

1. What are your most significant achievements that demonstrate your own initiative?

Describe up to three accomplishments. At least one should involve something beyond normal school or employment requirements, such as a profitable side business, leadership position, independent project, competition, or difficult personal goal.

2. Tell us about a time you executed quickly while juggling many responsibilities.

Explain how you prioritized the work, coordinated the people involved, handled deadlines, and achieved the final result.

3. Why do you want to become the CEO’s right hand and potentially grow into operations leadership?

Connect your answer to your experience, strengths, ambitions, and long-term professional goals.

Optional video introduction

You may include a one- to two-minute video introducing yourself and explaining why you would be a strong fit. Production quality is not important; the video is simply an opportunity to demonstrate your spoken English, confidence, and communication style.
