Take work off the CEO's plate. That is the whole job.
Graphene-X is a performance apparel brand built on graphene, aerogel and boron nitride. 14 Kickstarter campaigns funded, $3M+ raised from 30,000+ backers in 100+ countries, zero failed deliveries, and winner of the ISPO Innovation Prize 2024.
Products ship to customers in the US, Canada, UK and Europe through Shopify and Kickstarter.
The employer is Ikigai Ventures Limited (Hong Kong), the company behind Graphene-X and the CEO's other ventures. Graphene-X will take most of your time. The rest will go to those ventures.
You work directly with the CEO.
Nothing the CEO is waiting on goes unchased. That is the standard you are measured against.
You start from clear instructions. As your judgment and execution prove out, you take ownership of more.
What you will do
Ledger and launches
Run the weekly request ledger. Every open item has an owner, a due date and a next follow-up.
Chase deliverables from the team — design, growth, customer support and operations — until they land.
Build and maintain the launch checklist for every Shopify launch and Kickstarter campaign: photos, copy, product data, video scripts, owners and dates.
Track the commercial calendar and flag anything at risk two weeks before it is due.
Close each week with a shipped / slipped list.
Inbox, calendar and travel
Triage the CEO's email daily and draft replies in clean, fluent English.
Keep the inbox fully processed by the end of each working day, with every pending matter actioned, delegated, scheduled or tracked for follow-up.
Manage the CEO's calendar and protect focus blocks.
Book flights, hotels, meetings and other travel logistics.
Research and systems
Turn open questions into concise, one-page recommendations with a clear answer.
Maintain trackers, spreadsheets and internal documentation.
Build small automations that remove recurring manual work.
As you earn trust, the role will grow into supplier follow-ups — samples, prototypes, production dates and reports — and wider operational ownership.
Who you are
Organized. Things do not fall through the cracks.
Persistent. If someone owes you an answer, document or deliverable, you follow up until you have it.
Proactive. You act before anyone reminds you.
Fast. You find the shortest route to done.
Resourceful. When you do not know something, you figure it out.
Detail-oriented. Names, numbers, dates, attachments and instructions matter.
Discreet. You will handle confidential commercial and financial information.
Fluent in English, written and spoken.
Comfortable with high standards and a fast pace.
AI proficiency
You use ChatGPT, Claude or similar AI tools regularly, and you have built at least one workflow with them that replaced or significantly reduced manual work.
You will show it to us.

Working hours & holidays
This is a full-time, remote, long-term position working Hong Kong hours, Monday to Friday.
The position follows the Hong Kong working calendar and Hong Kong public holidays, not the Philippines public holiday calendar.
If a day is a public holiday in the Philippines but a normal working day in Hong Kong, you will be expected to work as usual.
Hong Kong public holidays observed by the company will be treated as holidays.
There is no US night shift.
Occasional flexibility may be required when something genuinely urgent needs solving.
Compensation
₱47,000–₱63,000/month, depending on experience and demonstrated ability.
There will be a performance review after 90 days, with a defined path to higher compensation as responsibility and ownership grow.
By day 90
