JOB OVERVIEW

About the company

We are a digital marketing agency with a Philippine team, a portfolio of around 200 lead generation websites, six retainer clients, and a few new projects in development.

About Guy

Guy is the founder. He also carries a Head of Marketing and sales role for our anchor client, which means his day runs across three worlds — the anchor client, his own company's existing business, as well as his new projects. He's direct, he moves quickly, and he travels quite frequently. His day can shift, and some priorities can slip through the cracks. Too much lands in his inbox and calendar. His meeting notes can accumulate, and tasks could get buried. He ends up doing a lot of work that can otherwise be delegated to this team. He doesn't like to use a project management tool.

Your job in one paragraph

You run Guy's day so he can run the company. Catch everything that lands in his inbox, sort it, act on what you can, and hand him only what needs his brain. Analyze and organize his meeting notes, so that his deliverables and priorities are aligned. You will not be given a task list every morning. You will build it.

What a normal day looks like

Your shift covers Spain's business morning, so your afternoon is his morning. When he opens his laptop, a short brief is already waiting. What came in overnight, what today's meetings need, and the three things that matter most. His inbox has been sorted. During the overlap you handle scheduling, chase replies, prep documents, and take things off his plate as they come up. There may be invoices, subscriptions, travel, expenses, document filing, and vendor accounts to handle.

You will be delegated work that needs to get done to push the business forward to be completed in the gaps. This will include items such as generating more lead gen websites (using a self service and relatively easy tool), posting on LinkedIn for himself or on behalf of clients, reviewing videos for podcasts he is producing for errors and quality issues, as well as doing outreach to assist in business development functions, primarily by writing short emails, DMs, and other small messages.

Before you log off, he gets an end of day summary and a calendar for tomorrow that's already confirmed. When applying, please make sure to make the subject of the message say "Coffee" to let us know you have read the entire listing.

Who does well in this role

- You've supported a founder, executive, or business owner before, for at least five years, and you owned things without being told.
- You write clean, plain English, fast. Half this job is writing on Guy's behalf. You should be highly proficient in English, both written and verbal.
- You make decisions. When two things conflict and he's unreachable, you pick one, act, and tell him why.
- You tell the truth early. If you broke something, he hears it from you before he finds it himself — we test for this harder than anything else.
- You keep a system. Tasks, deadlines, and open loops live somewhere you can show on screen in thirty seconds.
- You're comfortable with Microsoft Outlook 365 apps, project management tools, picking up new technology, and using AI to enhance your output.
- You don't have multiple jobs or conflicting priorities.
- You can roll up your sleeves, and even get out of your comfort zone, to get things done.
- You have stable power and internet, and a backup plan for both.
- Having some design skills is a plus, but not a requirement (hopefully you have a good eye)
- You must be very comfortable with Technology and AI

How to apply

Tell us: Who was the last person you supported? What did you own completely? How would you help Guy be more organized? Please use the OnlineJobs system when applying. We will be looking at your application history and job history carefully, as we want someone who is dedicated and has stability more than just a person in a seat. This is a big hiring decision and will not be made overnight.
