We're looking for an intuitive, proactive, and friendly Executive Assistant to serve as the right hand to our CEO. This isn't a task-taker role; it's a thinking partner role. You'll help bring order to a fast-moving day, anticipate what's needed before it's asked, and keep both the CEO and the broader leadership team moving in the same direction.
The ideal person is operationally minded, allergic to loose ends, and gets satisfaction from chasing an issue across departments until it's resolved. You'll work inside an EOS (Entrepreneurial Operating System) environment alongside a Visionary CEO and an Integrator, helping protect the cadence that keeps the business healthy.
This role has a growth path. As Unió scales, the right person can grow into an Operations Manager or Project Manager role.
What You'll Own (Day-One Must-Haves)
Daily Standup & End-of-Day Recap with the CEO
- Run a 10–15 minute start-of-day sync to align on priorities, calendar, blockers, and the day's "must-close" items
- Send a written end-of-day recap covering what closed, what's pending, and what needs the CEO's attention tomorrow
- Maintain a single source of truth for the CEO's task list and "waiting on" list so nothing falls through
Inbox
- Triage the CEO's inbox throughout the day: organize, label, archive, and prioritize
- Reply and send on the CEO's behalf in his voice by answering routine requests, scheduling, acknowledging, and routing
- Delegate items to the appropriate tea
- Escalate only what genuinely needs the CEO's attention, with a recommendation attached
Calendar, Gatekeeping & Meeting Prep
- Own the CEO's calendar end-to-end: schedule, reschedule, protect deep-work blocks, and resolve conflicts before they reach his desk
- Serve as the first point of contact for anyone trying to reach the CEO (vendors, clients, recruiters, internal staff) and route appropriately
- Prepare the CEO for every meeting with a short brief: who, why, desired outcome, and prep materials
- Keep working files organized and findable across OneDrive, SharePoint, and Egnyte
EOS Cadence Support
-Help maintain the rhythm of Level 10 meetings, Quarterly Sessions, and Annual Planning
- Keep Rocks, Scorecards, and the Issues List current in Strety
- Format and distribute the leadership scorecard before each L10

Meeting Notes & Action Tracking
- Attend or review AI-generated notes from key meetings
- Extract action items, assign owners and due dates, and follow up until closed
- Surface stalled items before they become problems
Travel, Expenses & Life Logistics
- Book flights, hotels, rental cars, and ground transportation for both business and personal travel; build full itineraries with confirmations in one place
- Coordinate around client visits, conferences, and Phoenix/Flagstaff office trips; handle rebookings when plans shift
- Capture receipts, categorize expenses, reconcile the corporate card monthly, and flag recurring subscription renewals
What You Bring
- 3+ years as an Executive Assistant, Chief of Staff, or Operations Coordinator supporting a senior executive
- Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
- AI fluency -- you already use ChatGPT, Claude, or similar tools as a daily multiplier for drafting, summarizing, researching, and reviewing AI-generated meeting notes
- Excellent written and spoken English; clear, warm, professional tone
- Working knowledge of EOS (Traction by Gino Wickman), such as Rocks, L10s, IDS, Scorecards, V/TO
