We’re looking for a calm, reliable, and highly organized Executive Assistant to support the Founder of a digital marketing agency across multiple international business ventures. This is a long-term role for someone who enjoys creating order, structure, and accountability in a fast-moving environment.
You’ll work directly with the Founder to manage operations, scheduling, communication, and project follow-through. The goal is simple: create clarity and consistency so the Founder can focus on high-value strategic work.
Key Responsibilities
1. Executive Support & Scheduling
• Manage the Founder’s calendar, appointments, and travel across multiple time zones.
• Prioritize meetings and ensure smooth preparation and follow-up.
• Keep communication organized and filtered, ensuring the Founder’s attention is on the right things.
2. Project Management
• Translate goals and ideas into structured task lists and timelines.
• Track ongoing projects across different businesses and keep all moving parts aligned.
• Follow up with internal and external collaborators to ensure deliverables stay on schedule.
3. Communication & Documentation
• Draft clear, professional correspondence and summaries.
• Organize notes, insights, and decisions fro
• Maintain confidential records and ensure information flows smoothly between parties.
4. Research & Preparation
• Gather background information for meetings, partnerships, and upcoming projects.
• Prepare concise briefing notes and summaries.
• Conduct light research on people, companies, or topics relevant to current work.
5. Systems & Organization
• Maintain task and project tracking tools
• Set up and improve systems for recurring workflows, reporting, and reviews.
• Help design and maintain an organized digital workspace (files, notes, archives).
6. Logistics & Personal Operations (as needed)
• Coordinate travel, flights, and accommodation.
• Assist with basic personal scheduling overlaps (family calendar, fitness, health).
• Ensure the Founder’s routine runs efficiently and sustainably.
Ideal Candidate
• Experience: 5+ years as an Executive Assistant, Operations Manager, or similar support role.
• Language: Excellent English (written and spoken).
Mindset:
• Calm, discreet, and emotionally steady.
• Enjoys working with a high-performing but creative founder.
• Strong sense of ownership and reliability — doesn’t need constant direction.
• Able to see the bigger picture while managing details day-to-day.
Skills:
• Excellent organization, time management, and communication.
• Proficient in modern productivity tools (Google Workspace etc)
• Comfortable handling sensitive information with confidentiality.
