JOB OVERVIEW

ABOUT THE ROLE
I am a business owner running multiple fast growing companies. I am the front man. I need a right hand person who runs the engine room behind the scenes taking as much off me as possible and plugging the holes in the day to day.

This is not a traditional PA role. This is a high trust high responsibility role for someone who is confident fast thinking extremely organised and comfortable making decisions.

If you are introverted slow to respond or need detailed instructions for everything this role is not for you. If you are extroverted, proactive, love taking ownership and enjoy moving fast please keep reading. After someone who talks and responds fast, no awkward silences and quick to get on with it.

WHAT YOU WILL DO
You will manage my inbox and calendar end to end. I should only see emails that truly need my input. Everything else you handle reply delegate or resolve.

You will control my calendar and meetings. You will schedule reschedule decline meetings on my behalf and prepare short summaries so I walk into meetings fully prepared. You will act as my gatekeeper. Phone calls messages and requests come through you first. You filter and summarise so I only deal with what matters.

You will prepare meeting notes agendas and follow ups so nothing falls through the cracks. You will manage my personal sales pipeline. This includes friends, family, referrals, business network leads and past customers. More sales the better. So need someone sales focused, able to pick up the phone, make the sale, see the paperwork through and get over the line. You will follow up power bills organise quotes coordinate with the sales team and track deals from first message through to completion. You will use pre approved templates to message people confidently and professionally.

You will lightly assist with marketing tasks such as Canva designs, basic video edits and coordinating outsourced content when required. Researching products, businesses and gathering content will also be needed. You will constantly look for ways to save me time and reduce friction without being asked.

-Extremely extroverted confident and comfortable communicating with anyone.
-Fast paced thinker who gives clear direct answers not long stories.
-High initiative. You do not wait to be told what to do.
-Comfortable making decisions and using judgement.
-Detail oriented but not slow.
-Sales confident and not afraid of follow ups. (hungry for sales)
-Strong English written and spoken.
-Comfortable managing senior people and pushing things forward.
-DISC profile ideally high D and I. High S also acceptable if you are proactive and fast.

REQUIREMENTS
-Minimum 3 years experience as an Executive Assistant Operations Manager Sales Coordinator or similar.
-Strong experience managing inboxes calendars and senior stakeholders.
-Sales or lead coordination experience highly valued.
-Experience with Google Workspace, CRM tools and Canva.
-Stable internet quiet work environment and ability to overlap Australian business hours.

FINAL NOTE
This role is not for everyone. That is intentional. If you thrive in fast paced environments love responsibility and enjoy making other people’s lives easier and this would ideally be a long term high impact role. I'm fun, polite, easy going, direct and honest. I am after someone to help me and be my wingman, to divide and conquer. Wage/Salary will depend on the person, the video and experience. I'm looking at a decent base, bonuses and commissions. There would probably be 1-2 months of training to begin.
