Executive Assistant to Founder
(Ecommerce | Healthcare | AI Startup)
About the Role
We are looking for a highly organised, proactive and detail-oriented Executive Assistant to work directly with the founder across three fast-growing ventures:
A premium sports-inspired ecommerce brand
A UK-based GP medical portfolio career
An AI-driven startup working with hedge funds and institutional clients
This is not a standard admin role. You will act as a trusted right-hand support, helping to bring structure, organisation and execution to multiple projects across industries.
Your role will allow the founder to focus on strategy, growth and high-level decision-making — while you ensure the operational engine runs smoothly.

Core Responsibilities
1?? Executive & Administrative Support
Calendar management and scheduling

Email organisation and drafting replies
Creating and maintaining structured spreadsheets
Research tasks (companies, investors, suppliers, contacts)
Organising documents and digital systems (Google Drive etc.)
Following up on tasks and deadlines independently

2?? AI Startup Support
Building structured spreadsheets of accounts and contacts (via Apollo or similar platforms)
Data entry and CRM organisation
Preparing investor outreach lists
Assisting with dashboard tracking
Supporting email outreach tracking and reporting
Strong IT and spreadsheet skills are essential.

3?? Healthcare Portfolio Support
Assisting with portfolio documentation
Formatting and organising reflections and submissions (information will always be provided)
Tracking appraisal requirements and deadlines
Basic admin support (no clinical work required)
Medical knowledge is preferred but not required.

4?? Ecommerce & Marketing Support
Shopify (plus mins etsy) product uploads
Scheduling and posting Instagram content
Meta Ads dashboard reporting (weekly summaries)
Klaviyo email campaign reporting
Creating simple weekly performance dashboards
Organising creative assets and tracking campaigns
Experience with Shopify, Meta Ads Manager, Instagram and Klaviyo is highly desirable.

Position Options
Part-Time (20 hours per week)
Ideal for candidates looking for long-term flexible work.
Full-Time (40 hours per week)
For candidates who want to grow into a high-responsibility executive support role.
There is long-term growth potential for the right person.

Technical Requirements
Strong Google Sheets / Excel skills
Confident with data organisation
Familiar with Shopify (preferred)
Familiar with Meta Ads Manager (preferred)
Familiar with Klaviyo (preferred)
Familiar with some medical jargon (preferred)
Fanilar with editing tools such as canva/capcut(preferred)
Strong written English
Stable internet connection
Ability to work UK hours overlap (minimum 3–4 hours daily overlap)
Not all of the above requirements will of course be required daily. Job role can be discussed . Some weeks may require more input with one venture etc
