# Executive Assistant to CEO — Reporting & Operations
**Location:** Remote, Philippines
**Type:** Full-time
**Schedule:** Must have meaningful overlap with US Eastern Time
I’m the CEO of multiple growing e-commerce businesses. I’m looking for an experienced executive assistant who can manage my day-to-day priorities and **own the process behind my CEO dashboard**.
A major part of this role is collecting weekly report card numbers from my direct reports, verifying that the numbers are accurate, and giving me a clear view of business performance. I want someone who has run an executive reporting process before and can bring ideas to make ours faster, more reliable, and more useful.
This is a hands-on role with a wide range of responsibilities. You may be building a dashboard, following up with a department leader, organizing a project, researching a decision, or turning a voice note into a plan with owners and deadlines.
## What you’ll own
### CEO dashboard and weekly report cards
- Run the full weekly CEO dashboard process, from requesting updates through delivering the finished report.
- Collect each direct report’s weekly numbers, progress updates, blockers, and commitments on time.
- Verify numbers against their source reports where possible, check calculations, and follow up on missing data or inconsistencies.
- Keep metric definitions and reporting periods consistent so results can be compared week to week.
- Highlight meaningful changes, missed targets, emerging issues, and decisions that need my attention.
- Improve the dashboard and reporting process as the businesses grow. I want you to suggest better metrics, workflows, and ways to reduce manual work.
### Executive support and follow-through
- Manage my calendar, meetings, reminders, priorities, and day-to-day tasks.
- Follow up with direct reports on answers, decisions, and deliverables without needing me to chase them.
- Turn meetings, messages, and voice notes into action items with clear owners and due dates.
- Track important projects through completion and give me concise updates on what is on track or delayed.
- Research tools, vendors, and business questions, then present the facts and your recommendation.
- Draft clear
- Take ownership of the unexpected tasks that come up in a fast-moving business.
## What I’m looking for
- **Prior experience owning an executive dashboard, leadership scorecard, or weekly business reporting process.** Please be specific about what you managed yourself.
- Strong Google Sheets or Excel skills, including formulas, dashboards, data validation, and troubleshooting.
- Experience collecting data from multiple people or systems and checking it before presenting it to leadership.
- Confidence following up with senior team members respectfully and persistently.
- The ability to turn a large amount of information into a short, useful update with clear next steps.
- Strong process thinking. You should see what is inefficient or unclear and bring ideas to improve it.
- Excellent written and spoken English, organization, judgment, and discretion.
- Experience supporting a CEO, founder, or senior executive. E-commerce experience is strongly preferred.
I’m looking for someone who can take ownership of this function, not simply copy numbers into a spreadsheet. You should be comfortable questioning a number that looks wrong, finding its source, and making sure I can trust the dashboard.
## What success looks like
Every week, I receive an accurate CEO dashboard on time. Direct reports submit their report cards consistently. The numbers have been checked, the important changes are easy to see, and outstanding questions have been followed up on. Over time, the reporting process becomes more efficient because you actively improve it.
