I'm hiring an Executive Assistant. Here's the honest version of what that means.
I'm a CEO building a personal brand company — two revenue lines, a growing team, and a content machine that doesn't stop. I help accomplished professionals become known for their expertise through LinkedIn ghostwriting and a cohort-based personal branding program called Brick by Brick.
I'm also still the person who sometimes spends 45 minutes on a Tuesday doing things that have nothing to do with why I started this company. That ends now.
I need an EA who doesn't wait to be told what to do. Someone who sees what needs to happen, makes it happen, and checks it off before I even knew it was on my list. If you've worked with a founder before and loved being the person who holds it all together — this is for you.
What You'll Actually Own:
Inbox + Communications
Triage my inbox daily — flag what matters, draft routine responses, keep it moving. Draft first-response templates for common inquiries. Track active partnerships, vendor relationships, and follow-ups
Calendar + Scheduling
Own my calendar — schedule with intention, protect deep work blocks, no unnecessary meetings. Coordinate logistics around travel, events, and external meetings. Make sure I can actually unplug when I'm out and hit the ground running when I'm back
Administrative + Operations
Track invoices, contracts, and time-sensitive action items across both business lines. Send a daily morning priority brief — top 3-5 things that need my attention today. Handle the miscellaneous tasks that steal CEO hours: OOO setup, looping people in, chasing signatures, sending links. Build and maintain light tracking systems so nothing falls through the cracks
You're the Right Person If
? You've supported a founder or operator before and loved being the person in the background who makes everything run
? You move fast and communicate faster — you don't sit on things
? You're organized in a way that feels natural, not performative
? You notice what's about to fall through the cracks before it does
? You don't need hand-holding and don't ask permission for things within your lane
? You use AI tools (ChatGPT, Claude, etc.) as a natural part of how you work — not because you were told to, but because you're always looking for a smarter way to get things done
Bonus: you're experimenting with AI agents and automation — we reward people who bring better ways of doing things
You're Not the Right Fit If
X You need a detailed playbook to get started on anything
X You treat this as a 9-5 inbox check
X You've never worked in a fast-moving small company and you're not sure you want to
The Details
Remote, async-first
Full-time position
$1,500-2,000/month depending on experience
Tools we use: Slack, Gmail, Google Workspace, Kit (ConvertKit), Typeform, ClickUp, Fathom
How to Apply
Don't just send your resume. Do this instead.
Submit the following assignments
Include the following:
1. The Morning Brief
Based on what you know about this role and this company, write me a sample morning priority message. Pretend it's a Tuesday and you've already reviewed my calendar and inbox. Show me what I'd wake up to if you were my EA.
2. Your "Catch" Story
Tell me about a time you caught something falling through the cracks before it became a problem — what was it, what did you do?
3. Your AI Toolkit
List the AI tools you use regularly and give one specific example of how you've used AI to make your work faster or smarter.
4. Your Resume or LinkedIn
Applications that don't follow this format will not be reviewed. We're looking for people who read carefully, follow through, and can think on their feet — this is your first test.
One more thing before you apply:
We're receiving a high volume of applications. To make sure yours gets seen, record a 2-minute Loom (
In the video:
Introduce yourself briefly — who you are, what you've done, where you are right now
Walk me through the morning brief you wrote — talk me through your thinking
Tell me one thing you'd want me to know about how you work that didn't come through in writing
Keep it to 2 minutes. Concise and clear beats long and thorough every time — that's also a preview of how this role works.
No Loom = application will not be reviewed.
