Position Summary
The Executive Assistant provides day-to-day administrative and operational support to the CEO. This role is responsible for managing communication, scheduling, meeting coordination, and executive support tasks to help the CEO stay focused on priorities. The EA also partners with the Team Manager to offboard tasks to other virtual tea
Key Responsibilities
Executive Support & Communication
Hold a brief daily sync with the CEO to confirm priorities and key updates.
Monitor inboxes and messages; read, draft, file/label
Unsubscribe from unwanted e-mails and or newsletters.
Flag and escalate urgent matters immediately and proactively keep the CEO informed.
Handle ad hoc tasks as requested
Calendar & Meeting Coordination
Coordinate, schedule, and book internal and external meetings.
Send invites, confirm attendees, manage reschedules/cancellations, and ensure meeting details are correct (time zones, links, agendas, and materials).
Join meetings as requested and note action items for each tea
Followup with tea
Set appointments as requested (business and related personal/administrative appointments if applicable).
Set monthly and/or quarterly recurring meetings per schedule
Task Coordination & Delegation
Coordinate with the Team Manager to identify tasks that can be offboarded to other virtual tea
Provide clear task notes, context, and follow-ups to ensure delegated work is completed accurately and on time.
Documents, Decks, and Reporting
Create and update decks and presentations (internal and external).
Build spreadsheets, pull basic reports, and complete ad hoc data/administrative tasks as needed.
Build SOPs and offboard as needed.
Summarize information clearly for quick executive review.
Instruction Intake & Follow-Through
Review Loom videos, voice memos, and written notes to capture instructions and convert them into clear tasks.
Confirm next steps, track action items, and ensure completion without repeated follow-up from the CEO.
Required Skills & Qualifications
Strong written communication skills (professional, clear, and concise).
Proficient and confident in speaking English.
Excellent organization and attention to detail; able to manage multiple priorities.
High responsiveness and strong judgment—knows what is urgent and escalates appropriately.
Comfortable supporting a fast-moving executive and handling confidential information.
Proficient with AI tools and common business tools
Advanced skills in building and managing spreadsheets
Preferred Qualifications (Nice to Have)
Experience supporting a CEO or senior executive.
Experience working with virtual teams and coordinating task delegation.
Familiarity with task/project tracking tools (e.g., Asana, ClickUp, Trello,
