Calling All Experienced Executive Assistant / Virtual Assistant
Role Overview
We are looking for a highly organized, proactive, and reliable Executive Assistant to provide high-level administrative, communication, scheduling, and operational support in a remote work environment.
This role is ideal for someone who can manage priorities, communicate professionally, stay organized across multiple tasks, and support executives or leadership teams with strong attention to detail and discretion.
The role is full-time and remote, with availability required during U.S. business hours or with a strong overlap with Eastern Standard Time.
Key Responsibilities
Executive Administrative Support:
Provide day-to-day administrative support to executives or leadership tea
Calendar and Scheduling Management:
Manage calendars, schedule meetings, coordinate appointments, handle reminders, and support meeting preparation.
Email
Assist with inbox management, draft and organize
Meeting Coordination:
Prepare agendas, take meeting notes when needed, track action items, and ensure follow-through after meetings.
Document and File Management:
Create, update, organize, and maintain documents, spreadsheets, trackers, reports, and shared files.
Task and Project Coordination:
Support task tracking, project updates, internal coordination, and operational follow-ups using company tools and systems.
Research and Reporting:
Conduct research, prepare summaries, compile information, and assist with basic reporting or documentation.
Stakeholder Communication:
Communicate professionally with internal tea
Process Support:
Follow SOPs, maintain organized workflows, and support process improvements to help the team operate more efficiently.
Key Requirements
Experience:
Previous experience as an Executive Assistant, Virtual Assistant, Administrative Assistant, Operations Assistant, or similar remote support role.
Communication Skills:
Strong written and verbal English communication skills.
Organization:
Excellent time management, attention to detail, and ability to manage multiple priorities.
Confidentiality:
Ability to handle sensitive information with professionalism, discretion, and confidentiality.
Remote Work Readiness:
Comfortable working independently in a remote environment with minimal supervision.
Technical Skills:
Proficiency with common business tools such as Google Workspace, Microsoft Office, Slack, ClickUp, Notion, CRM systems, scheduling tools,
Reliability:
Must be dependable, responsive, professional, and able to meet deadlines consistently.
Problem-Solving:
Ability to follow instructions, anticipate needs, ask the right questions, and proactively resolve simple issues.
Availability:
Availability to work full-time and provide overlap with U.S. business hours, especially Eastern Standard Time, when required.
Nice to Have
Experience supporting executives, founders, CEOs, or senior leadership.
Experience supporting U.S.-based clients or businesses.
Experience in legal, operations, staffing, customer support, sales support, or administrative roles.
Experience using CRM tools, project management systems, or scheduling platforms.
Ability to quickly learn new tools and adapt to different workflows.
Technical Requirements
Laptop or desktop computer with at least 8GB RAM
Reliable headset, preferably with noise-canceling microphone
Fast and stable internet connection, minimum 10 Mbps
Quiet and professional remote work setup
Backup internet or power source preferred
Starting Salary
Compensation will be discussed based on experience, skills, and role requirements.
