We’re looking for a part-time Executive Assistant / Studio Manager to support daily operations, client communications, and design workflows for our design studio.
This role is 20 hours per week and you must be available during US business hours (Eastern time) for training and onboarding, though once your are fully onboarded, your hours will become highly flexible.
You’ll be helping with calendar and inbox management, light social media management, Figma file organization/preparation, project management, client follow-up, and other administrative tasks and special projects. You should be incredibly tech-savvy, a critical thinker, and detail-oriented. Training on specific tools will be provided, but prior CRM and design tool experience is a huge plus.
Top Responsibilities:
Admin & Client Management: Manage calendar and inbox, send proposals, follow up with clients, handle invoicing, and assist with project management timelines.
Systems & Operations: Help migrate workflows from HoneyBook to HelloBonsai, document processes to create SOPs, invite subcontractors to Slack, and maintain our subcontractor database.
Design Support: Prepare, organize, and polish Figma files (including permissions and file rebuilding), build client-specific presentations, and update client offboarding guidelines with branding and links.
Marketing & Social Media: Schedule LinkedIn posts, assist with comments/outreach, create AI-assisted industry summaries (using Claude/ChatGPT), assist with overall content strategy, and launch/manage a newsletter.
Requirements:
[Must-have] Excellent written English and client-facing communication skills (you must be someone who naturally over-communicates).
[Must-have] Strong critical thinking skills, general business acumen to weigh priorities, and extreme attention to detail.
[Must-have] High tech-savviness with proficiency in Google Suite, Notion, Slack, LinkedIn, Adobe Acrobat, and AI tools like Claude.
[Nice-to-have] Experience with Figma (advanced skills like wireframing are a bonus) and Adobe Photoshop.
[Nice-to-have] Prior experience using CRMs (specifically HoneyBook or HelloBonsai) and website builders like Framer.
[Nice-to-have] Previous experience working within the design, creative, or tech industry.
Perks & Pay:
Pay starts at $5.00 – $8.00/hour depending on experience. Higher rates may be offered for exceptionally qualified candidates
13th-month bonus pay.
Highly flexible working hours once the initial training period is complete.
