Virtual Executive Assistant / Studio Manager (Remote, Part-Time ? Full-Time)
We’re looking for a Virtual Executive Assistant / Studio Manager to support a creative business owner (graphic designer) with strong systems, clear communication, and day-to-day operational support.
This role is ideal for someone who is organized, proactive, comfortable following established systems, and confident communicating verbally and on video via loom and team calls.
About the role
You’ll be responsible for helping keep the business running smoothly by managing client onboarding, scheduling, communication, and internal systems. The client already has a well-built workflow and pipeline in Notion, so this role works best for someone who enjoys structure and keeping things moving forward.
This position starts part-time, with the opportunity to move toward full-time based on performance and business growth.
Key responsibilities
-Support client onboarding using existing systems (primarily Notion)
-Manage calendars and scheduling
-Handle client-facing communication and follow-ups
-Keep pipelines, tasks, and workflows organized
-Communicate updates and next steps clearly to the client and business owner
-Use Loom and verbal communication regularly (not just written messages)
Tools you’ll use
-Notion (pipelines, onboarding, task tracking)
-Slack (team and client communication)
-Loom (video updates and async communication)
-Zoom (meetings)
-Dropbox / Dropbox Sign (files and contracts)
Communication style
This role places a strong emphasis on verbal and video communication. The client prefers Loom videos and clear spoken updates over written-only messages. Strong spoken English, confidence on video, and quick responsiveness are important.
Schedule & availability
Remote position
3–4 hours of daily crossover time in the window of 8am - 5pm PT (Pacific Time) Portland, OR, USA
Remaining hours are async
Must be responsive during working hours
Requirements
Reliable, high-speed internet connection
Strong organizational and systems-following skills
Clear verbal English and comfort speaking on video
Quick, confirming communication
Prior experience as an EA, studio manager, admin, or similar support role
