About the Role This role supports a public speaker's day-to-day operations and their public-facing social media presence. Both halves of the role matter and we need someone genuinely capable in both:
Administrative/Operations Support — the heavier, day-to-day part of this role
Social Media Strategy & Management — requires independent thinking, not just posting
This is not a role where you wait to be told what to design or when to post. We need someone who can look at an upcoming event or trip and independently figure out what needs to happen, administratively and on social media, without step-by-step supervision.
What You'll Actually Do
1. Administrative & Logistics Support (top priority, this comes first every day)
Manage the principal's schedule and travel logistics: booking, confirming, and coordinating so they can get to speaking engagements smoothly and on time
Anticipate logistics issues before they become problems (e.g., confirming details ahead of time, double-checking travel/venue arrangements)
Coordinate book sales and deliveries: tracking orders, following up on shipments, handling customer questions about their orders
Keep basic records/trackers organized so nothing falls through the cracks
2. Social Media Strategy & Management (secondary priority, one primary platform, done well)
We are prioritizing one main platform (to be d
Independently manage that account directly (you will be trusted with login access)
Build a simple content strategy/calendar tied to actual goals, not just a stream of posts
Independently put together a basic promotional plan for one-off events (e.g. a special Zoom event)
Track performance (reach, engagement, growth) weekly and adjust the approach based on what's working
Respond to comments/messages on that platform and stay on top of relevant trends
Requirements
Prior experience with executive/admin support, especially scheduling/calendar management, travel coordination, booking, or order/logistics tracking, and inbox management
Demonstrated ability to independently plan, not just execute; you should be able to look at "we have an event coming up" and build a basic plan without being walked through it
Critical thinking and prioritization skills for work. We're looking for someone who can genuinely take ownership of both sides of this role. By taking ownership, we mean someone who doesn’t just take orders.
Comfortable being trusted with direct account access (social media logins) and handling that responsibly
Working knowledge of Canva or similar tools, and basic social media scheduling/analytics
Highly organized, reliable, and detail-oriented; this role involves real logistics (travel, deliveries) where mistakes have real consequences
Good written English communication
Comfortable working with a mission-driven/community organization
Design/content creation (Canva, simple graphics/captions) is part of the job
Bonus
Experience supporting a public figure, speaker, or thought leader
Experience with
Copywriting/storytelling background
Familiarity with scheduling tools (Buffer, Later, Meta Business Suite, calendar/travel tools, etc.)
How to Apply Please send:
A short note on your experience with administrative/logistics coordination (scheduling, travel, order tracking, etc.)
A sample of past social media work, and briefly explain the strategy behind it, not just the design
Screening exercise: In 3–5 sentences, outline how you'd plan and promote a one-off event (e.g., a signing) across social media, if given a 5-week lead time
Confirmation you're available for 5-6 hrs/day, and any questions about the rate or scope
