JOB OVERVIEW

We’re hiring an Operations EA / Workflow Manager to run the CEO’s daily command center: inbox triage, calendar management, task routing, project tracking, and basic automation monitoring (Make/Integromat). You’ll help keep multiple business lanes moving (credit operations, real estate wholesaling, content, and automation).

This role is for someone who is fast, organized, and proactive. You don’t need to be an expert in credit or real estate—but you must be excellent at systems, follow-through, and clean communication.

Responsibilities

Daily Command Center

Triage emails and categorize (Bills, CRA/Credit, Contracts, GoHighLevel, Vendors, Other)

Calendar scheduling, confirmations, reminders, agendas

Convert messages/notes into tasks (Airtable/Trello) with owners + due dates

Maintain an “Open Loops / Waiting On / Blockers” tracker updated daily

Send a daily CEO briefing (AM) + recap (EOD)

Systems & Automation Support

Keep Airtable/Trello clean and up-to-date (statuses, links, deadlines)

Monitor Make scenarios for failures; report issues clearly (what broke, screenshot, recommended fix)

Document simple SOP checklists as we standardize workflows

Admin/Ops Coordination

Draft replies using templates (CEO approves sensitive items)

Coordinate handoffs with other VAs (credit processor, sales VA)

Organize Google Drive folders (naming + filing)

Required Skills (must-have)

Executive assistant or operations VA experience (2+ years preferred)

Strong written English and clear communication

Excellent organization + deadline discipline

Airtable or Trello (must be comfortable)

Google Workspace (Gmail, Calendar, Drive, Docs)

Slack (daily communication)

Bonus Skills (nice-to-have)

Make (Integromat) or Zapier automation monitoring

GoHighLevel familiarity (pipelines, tags, tasks)

Experience supporting sales ops or client-based services

Deliverables (non-negotiable)

Daily CEO Brief (AM)

Daily Open Loops list (EOD)

Weekly Planning Pack (priorities + deadlines + risks)
