About the Role
Delfina Marketing is a fast-growing performance and creative marketing agency working with DTC brands in the U.S. We’re looking for a highly organized, detail-oriented Executive Assistant to support our founder and operations team.
You’ll be the glue that keeps everything running smoothly — managing inboxes, calendars, tasks, Slack, and documentation — while helping bring order and clarity to a busy creative environment. If you love building systems, communicating clearly, and keeping chaos organized, this role is for you.
Key Responsibilities
Manage and organize multiple
Maintain and sync multiple calendars (Google Calendar + Calendly), ensuring no double-bookings.
Transcribe and summarize meeting/call notes into clear, actionable task lists.
Manage and organize Slack channels — create naming conventions, tag users properly, and ensure tasks aren’t lost.
Support project tracking in Google Sheets or other tools (help keep deliverables on schedule).
Write and send professional client
Help with research tasks, scheduling, onboarding new clients or hires, and basic operations documentation.
Work closely with the founder and operations manager to build systems that improve communication and task flow.
Skills & Experience We’re Looking For
Required:
3+ years experience as an Executive Assistant, Operations VA, or Project Coordinator.
Excellent written and spoken English; can draft clear, professional
Strong organizational and systems thinking skills.
Confident managing Slack, Google Workspace (Gmail, Drive, Calendar), and task trackers.
Can work independently, manage time well, and follow through on commitments.
High attention to detail — you notice mistakes before anyone else does.
Nice to Have (Big Plus):
Experience in marketing agencies or DTC/eCommerce environments.
Familiar with Shopify, Klaviyo, or similar tools.
Comfortable doing light customer service or research/admin work.
Basic understanding of creative workflows (graphic design, video editing, ad management).
