JOB OVERVIEW

We’re looking for a highly organized, resourceful, and tech-savvy assistant to support a senior executive at a fast-growing U.S. healthcare and aesthetics company.

This is a generalist role covering executive support, operations, marketing, research, data, and special projects. We want someone who can be given a task or problem and independently figure out how to move it forward.

Responsibilities

* Manage tasks, priorities, follow-ups, and deadlines
* Assist with day-to-day executive and administrative needs
* Coordinate projects across marketing, operations, technology, and other teams
* Conduct research on competitors, vendors, software, trends, and new ideas
* Build and maintain spreadsheets, reports, trackers, and organized documentation
* Assist with marketing campaigns, promotions, website updates, and QA
* Research competitors, ads, social media, influencers, and marketing trends
* Help organize creative assets and coordinate with marketing vendors/team members
* Draft emails, documents, presentations, and internal communications
* Create SOPs and improve internal processes
* Use AI tools such as ChatGPT and Claude to research, analyze, write, and automate work
* Handle miscellaneous projects and help solve problems as they arise

Ideal Candidate

* Excellent English communication
* Highly organized and detail-oriented
* Strong internet research skills
* Comfortable with Excel/Google Sheets
* Familiar with digital marketing and social media
* Tech-savvy and able to learn new software quickly
* Comfortable using AI tools
* Proactive and good at following up
* Able to work independently without constant instructions
* Comfortable working across many different types of projects
* Able to overlap with U.S. Pacific Time

Experience supporting an executive, founder, marketing team, e-commerce company, healthcare company, or fast-growing business is a plus.

Most importantly: we’re looking for someone who takes ownership, figures things out, and helps take work off the executive’s plate.
