OVERVIEW
We're a fast-scaling DTC supplement brand with a high-velocity creative pipeline — from concept to live ad in days, not weeks. We need an Operations Manager / Executive Right Hand to own the systems, processes, and coordination that make that speed possible.
This is not a traditional VA role. You'll be the person who builds the machine — hiring and managing freelancers, building SOPs, running the creative production workflow end-to-end, and catching every ball the founders drop. You'll work directly with the CEO.
We're an AI-native team. We use AI across every part of our workflow — scripting, research, production, operations. If you're not already using AI daily to multiply your output, this isn't the right fit.
If you thrive in structured chaos, love building order from scratch, and get satisfaction from airtight execution — keep reading.
WHAT YOU'LL OWN
* Build and maintain the operational systems behind our ad creative pipeline (briefs ? scripts ? UGC ? editing ? launch)
* Hire, vet, and manage UGC creators and freelancers — hold them to deadlines and quality standards
* Create and enforce SOPs across production, asset management, and team workflows
* Run QA on creative output — scripts, hooks, ads — ensuring brand alignment and accuracy before anything goes live
* Manage file organization, platform uploads, and production tracking so nothing falls through the cracks
* Research competitor ads, trends, and creative angles to feed the content pipeline
* Handle operational tasks the CEO shouldn't be spending time on
WHO YOU ARE
* AI power user — this is non-negotiable. You use AI tools daily to write faster, research faster, and build faster. Experience with Claude and Claude Code is a strong preference — if you're already building workflows, automations, or using AI-assisted coding to solve ops problems, you'll stand out immediately.
* Systems thinker — you see a messy workflow and immediately want to document and fix it
* Detail-obsessed — typos, missed deadlines, and sloppy handoffs bother you on a personal level
* Self-directed — you take a problem, figure out the solution, and execute without needing to be managed
* Comfortable with speed and shifting priorities — you don't need things locked in weeks ahead to perform
* Direct communicator — you flag issues early, give honest updates, and don't sugarcoat
Ecommerce, DTC, or ad production experience is a strong plus
WHAT SUCCESS LOOKS LIKE AT 90 DAYS
* Creative production pipeline is documented, systematized, and running without founder involvement in day-to-day
* UGC creator roster is managed — briefs go out on time, content comes back on spec
* QA process catches issues before they reach the ad account
* CEO has 10+ hours/week freed up from operational tasks
* You've identified and fixed at least 3 workflow bottlenecks nobody asked you to find
