I’m hiring a full-time Executive Assistant + Operations Coordinator to support me and help run the day-to-day operations of The Business of Dance and The Hollywood Summer Tour.

This is a remote position and can be done from anywhere in the world.
However, this is not a traditional VA role and it is not simply an administrative support position.
I am looking for someone who can start by supporting me directly, learn the entire business, and grow into a strong operations leader who can help run the machine even when I am not present.

The person I hire must be able to eventually:

• Understand every department of the company
• Communicate with clients

• Anticipate what needs to happen before being asked
• Take ownership of outcomes
• Keep the business moving even when I am unavailable
I am not looking for someone who simply waits for a task list.
I am looking for someone who thinks:
“If this were my business, what would I do next?”
NON-NEGOTIABLE REQUIREMENTS
Please do not apply unless you meet all of the following.
1. Pacific Time availability is required
Our company operates on Pacific Time — Los Angeles/Vancouver time.
Your required workdays are:
Monday–Friday + Sunday, Pacific Time
Saturday, Pacific Time, is generally off.
Your actual work schedule will fall somewhere within:
7:00 AM–9:00 PM Pacific Time
You will not work this entire 14-hour window.
This is simply the range of hours during which your assigned schedule may fall.
The position will be up to approximately 40 hours per week.
Your schedule may include:
• Full workdays Monday–Friday
• Lighter Sunday coverage
• Occasional schedule changes during launches, workshops and major events
• Occasional urgent tasks outside your normal shift
If you are based in the Philippines
Pacific Time corresponds to overnight and morning hours in the Philippines.
During U.S./Canadian daylight saving time:
7:00 AM Pacific ? 10:00 PM Philippines
9:00 PM Pacific ? 12:00 PM/noon Philippines the following day
Your actual shift would fall somewhere within that window.
You would not work from 10 PM until noon.
For Philippine-based candidates, working Monday–Friday + Sunday Pacific Time will generally translate to working approximately:
Tuesday–Saturday + Monday Philippine Time
with Sunday Philippine Time generally off, depending on your exact shift.

2. Exceptional spoken and written English is required
You must have native or near-native English proficiency.
Your spoken English must be:
• Extremely clear
• Fluent and natural
• Professional
• Easily understood by North American clients and team members
• Strong enough to confidently lead meetings and communicate with clients
Excellent written English, grammar and professional communication skills are equally important.
If you already have any videos, reels, interviews, presentations, teaching videos, social media clips or other examples of yourself speaking English, please include them with your application.
This is not required, but it is extremely helpful.

3. You must understand the dance industry
A basic understanding of the professional dance industry, ideally the North American dance industry, is required.
Ideal candidates may have experience as a:
• Former dancer
• Dance teacher
• Studio administrator
• Competition or convention employee
• Performing arts administrator
• Talent agency employee
• Entertainment industry professional
• Dance parent with significant industry experience
• Administrative or operations professional within dance or entertainment
You do not need to currently work professionally as a dancer.
In fact, this position is best suited for someone who wants to build a long-term career on the business and operations side of the dance and entertainment industry, rather than someone looking for temporary income while actively pursuing a full-time performance career.
4. Operations experience is required
You must have experience with some combination of:

This position goes well beyond traditional administrative work.

“This deadline was missed. What is blocking it, and when will it be completed?”
You must be able to:

• Communicate expectations clearly
• Identify bottlenecks
• Escalate only when necessary
• Help maintain company standards
You must also be comfortable communicating directly with clients.
If a client is unhappy, your first instinct should not simply be:
“I need to send this to the founder.”
You should be able to understand the issue, determine what can be resolved, communicate professionally, and bring me in only when necessary.

This role cannot be performed casually from a phone, while traveling around throughout the day, or while simultaneously working another full-time job.
CAREER GROWTH
The first approximately 90 days will be heavily focused on:
• Executive Assistant responsibilities
• Learning the founder
• Learning the team
• Learning the programs
• Learning the clients
• Learning the departments
• Learning our systems
• Understanding how the business operates
• Taking ownership of recurring tasks
You will not be expected to walk in on Day 1 and immediately run the entire company.
The goal is to learn the business deeply first.
As you demonstrate your abilities, the role will grow into true Operations Coordinator responsibilities.
That may include:
• Running team meetings
• Managing team accountability
• Monitoring projects
• Managing deadlines
• Coordinating departments
• Identifying bottlenecks
• Improving systems
• Developing SOPs
• Solving client and operational problems
• Tracking company priorities
• Making day-to-day operational decisions
• Keeping the company moving when the founder is unavailable
The long-term goal is for this person to become a trusted operational leader and right hand within the company.
There is significant opportunity for increased responsibility and compensation as you grow into that role.
SCHEDULE
Full-time
Up to approximately 40 hours per week
Required workdays:
Monday–Friday + Sunday, Pacific Time
Saturday Pacific Time generally off
Your assigned work hours will fall somewhere within:
7:00 AM–9:00 PM Pacific Time
Again:
You will not work the entire 7 AM–9 PM period.
Your actual schedule will be discussed with finalists based on company needs and your location.
