JOB OVERVIEW

Hi, I'm Hassan.
I run a growing exercise physiology clinic based in Sydney (Australia). As the business is expanding, so are the operations and complexities. Hence, I am looking for an experienced Executive Assistant to help me manage multiple projects and tasks.

To be clear, I am not looking for a task-based VA. I am looking for someone who is proactive and can plan, draft and take action to help me and the business grow.

Your duties:
- Manage the inbox — draft replies, handle routine enquiries, escalate only what genuinely needs my input
- Follow up warm leads and lapsed clients from our CRM and book them in
- Track letters, subcontractor agreements, and outstanding invoices
- Coordinate outreach and book appointments with GPs and referrers on my behalf
- Produce weekly KPI and end-of-week summaries
- Support content publishing — formatting articles, scheduling posts, Canva thumbnails
- General research and admin as needed

Who you are:
- You have real EA experience — not just VA admin. You can give examples of decisions you made without being asked
- Your written English is excellent. You can write a professional email to a doctor without it being rewritten
- You're proactive. If something needs doing, you do it and report back
- You want ONE long-term employer, not a portfolio of clients
- You're available during Sydney business hours (minimum 4–5 hrs overlap with AEST)
