JOB OVERVIEW

Remote | Full-Time (9:00 AM – 5:00 PM EST) | Client-Facing | Senior Role

This is not a generic VA role.

We’re hiring an experienced Executive Assistant to work directly with the founder of a growing eCommerce / consulting agency. This role exists to reduce cognitive load, prevent missed commitments, and protect the founder’s time and focus.

This is a long-term, full-time position for a senior EA who takes ownership and reliability seriously.

ABOUT THE ROLE:

- Act as an extension of the founder’s executive awareness and working memory
- Proactively remind, organize, and support the founder so nothing important is missed
- Serve as the primary gate between clients and the founder for scheduling and logistics
- Keep the founder out of day-to-day coordination unless input is truly required
- This role does not manage projects or execution (a Project Manager owns delivery)

CORE RESPONSIBILITIES:

- Attend all assigned client and internal calls on time and camera-ready
- Take clear call notes and accurately document agreed next steps
- Record notes and updates cleanly in ClickUp and shared systems
- Handle scheduling, rescheduling, confirmations, links, and reminders
- Send reminders before calls and follow up if a client is late
- Answer client questions related to timing, links, and logistics
- Route only strategic or founder-specific questions to the founder
- Provide daily, weekly, and monthly visibility reports that give the founder clarity without follow-up questions
- Protect the founder’s time through reminders, confirmations, and context awareness

WHAT WE’RE LOOKING FOR:

- Experienced Executive Assistant (not entry-level)
- Expert-level fluent English (written and spoken)
- Extremely reliable, detail-oriented, and organized
- Comfortable managing up and holding structure
- Calm, proactive, and confident working with clients
- Strong judgment and emotional intelligence
- Preference for structure, accuracy, and consistency

PROFESSIONAL SETUP REQUIRED:

- Professional background or neutral virtual background
- Clear, non-blurry webcam
- Professional-quality audio with no echo or distortion
- Client-ready at all times

ROLE DETAILS & COMPENSATION:

- Full-time, 9:00 AM to 5:00 PM EST
- Remote and dedicated (not a side role)
- Client-facing at times
- First 30 days are fully paid and used to confirm mutual fit
- Salary range is $1,000 to $1,200 USD per month depending on experience
