Our client is looking for an Executive Assistant / Client Coordinator to support a US-based professional services firm.
The ideal candidate must have prior experience supporting a US company, ideally from a paralegal, insurance or e-commerce background, is highly organized, proactive, and experienced in project management - managing client workflows, deadlines, and follow-ups without constant supervision. You must be comfortable communicating directly with US clients by email and phone and be willing to flag bottlenecks or outstanding items, including those on the client’s side. Knowledge in escrow, is a plus.
Key Responsibilities:
- Track approximately 60 clients across multiple workflow stages
- Monitor deadlines, job status, and outstanding items
- Proactively follow up with clients and internal team members
- Able to fluently communicate with US clients by email and phone
- Maintain accurate records and workflow updates
- Support administrative and executive-level tasks
Qualifications:
- At least 3 years of experience as an Executive Assistant, Client Coordinator, or Administrative Support professional
- At least 2 years supporting a US-based company, preferable from either paralegal/law/ecommerce/insurance
- Strong written and spoken English
- Experience managing client workflows, pipelines, deadlines, and follow-ups
- Experience with MS Office and Google Workspace and project management tools
- Experience supporting a US Executive in terms of project management, client communication, and administrative support. Someone who tracks jobs through stages, watches deadlines, and follows up on outstanding items without being told to
- Willing to work 10:00 AM–7:00 PM Arizona time (Mountain Time, no daylight saving)
