As our founder continues to grow both companies, we're looking for an exceptional Executive Assistant who can take complete ownership of the administrative side of the business, allowing the founder to focus on growth, leadership, sales, and strategic initiatives.
This is not a traditional assistant role.
We're looking for someone who loves organization, thrives on solving problems independently, and takes pride in making everything run smoothly behind the scenes.
The Mission
Your primary responsibility is simple:
Own the founder's inbox and calendar so they never have to be the first person touching
Beyond that, you'll become the operational backbone that keeps communication, scheduling, travel, content coordination, and day-to-day administration moving efficiently across both companies.
You should be someone who anticipates problems before they happen and solves them without needing constant direction.
What You'll Own
Executive Calendar Management
Take complete ownership of the founder's calendar.
This includes:
Booking and confirming meetings
Rescheduling appointments when necessary
Managing multiple calendars across businesses
Protecting deep work and focus blocks
Coordinating internal meetings
Coordinating client meetings
Managing podcast recordings
Organizing onboarding sessions
Preventing scheduling conflicts
Managing multiple time zones while traveling
Executive Inbox Management
Manage all incoming
Responsibilities include:
Daily inbox organization
Responding to
Prioritizing urgent communication
Routing
Following up with clients and tea
Maintaining inbox organization
Ensuring no communication slips through the cracks
Communication Management
You'll become the central communication hub for the founder.
Responsibilities include:
Following up on outstanding conversations
Managing direct messages
Routing internal communication
Drafting messages from voice notes
Ensuring prompt responses across communication channels
Travel & Event Coordination
Plan and organize all travel logistics.
Including:
Flights
Hotels & Airbnbs
Ground transportation
Complete travel itineraries
Conference logistics
Event coordination
Your goal is to ensure the founder simply shows up.
Administrative & Financial Support
Assist with administrative organization including:
Organizing receipts
Routing invoices
Supporting bookkeeping processes
Tracking business expenses
Coordinating documentation for accounting
Research & Preparation
Prepare the founder before important meetings by:
Conducting research
Preparing meeting briefs
Researching vendors
Gathering information for projects
Organizing recommendations and options
Content Coordination
Help keep the content engine moving by:
Coordinating with editors
Organizing raw content
Scheduling content
Managing publishing timelines
Sending reminders for content creation
Keeping content assets organized
Personal Executive Support
You'll also assist with personal administrative responsibilities, including:
Appointment scheduling
Gift purchasing
Errands
Personal travel coordination
Miscellaneous executive support
